New Leaf Behavioral Health is a non-profit organization dedicated to providing affordable, accessible, and high-quality mental health care to our community. We are seeking an Operations and Billing Coordinator to help oversee the day-to-day administrative operations of our clinic while supporting insurance billing, client accounts, and organizational projects. This position plays an important role in ensuring our office operates efficiently, our administrative team follows established procedures, and our clients receive exceptional service.

Hours:
  • Monday – Friday: 8:00am – 5:00pm

Key Responsibilities:
Administrative Operations:
  • Monitor daily administrative operations to ensure office policies, procedures, and service standards are consistently followed.
  • Provide guidance and support to administrative staff and volunteers, intervening as appropriate to resolve workflow issues and maintain quality standards.
  • Identify operational concerns and implement solutions consistent with organizational policies.
  • Coordinate small operational projects, track progress, and communicate updates to leadership.
  • Maintain organized physical and electronic records while ensuring documentation is accurate and complete.
  • Assist with developing, improving, and documenting administrative procedures and workflows.
Insurance Billing & Client Accounts:
  • Assist with insurance billing activities, including claim review, claim follow-up, and resolution of billing issues.
  • Monitor unpaid insurance claims and work to resolve denials, rejections, and outstanding balances.
  • Follow up on client balances professionally and courteously while helping clients understand their financial responsibilities.
  • Maintain accurate financial records and perform data entry with a high degree of precision.
  • Work collaboratively with clinical and administrative staff to ensure timely and accurate billing documentation.
Client Experience & Compliance:
  • Provide outstanding customer service to clients, referral sources, and community partners.
  • Assist in resolving client concerns with professionalism, discretion, and compassion.
  • Maintain the confidentiality of sensitive health information in accordance with federal and state privacy laws.
  • Help ensure the clinic maintains a welcoming, professional, and efficient environment for clients and staff.

Qualifications:
Education & Experience:
  • Bachelor's degree or equivalent administrative work experience.
  • Preferred at least 2 years of experience in an administrative, operations, medical office, billing, or customer service role.
  • Experience with insurance billing or healthcare administration is strongly preferred.
Technical Proficiency:
  • Comfortable using Windows-based computers and Microsoft Office applications, particularly Word and Excel.
  • Ability to learn and utilize electronic health record systems, billing platforms, and other office software.
  • Experience with bookkeeping or accounting software is a plus.
Skills:
  • Excellent organizational, prioritization, and time-management skills.
  • Strong analytical and problem-solving abilities.
