Job description


Our company, growing commercial construction firm, is seeking a Construction Contracts and Claims Manager to join its team in Western Massachusetts. This newly created role will partner closely with executive leadership and project teams to strengthen contract administration, improve project documentation, support change order and claims recovery, and help the company manage contractual risk as it grows.

What You'll Do as the Construction Contracts and Claims Manager:

  • Organize and maintain owner contracts, subcontracts, purchase orders, consultant agreements, and other project records.
  • Review contract requirements and clearly communicate key obligations, deadlines, and notice requirements to project teams.
  • Help Project Managers prepare the documentation needed to support change orders, claims, and Requests for Equitable Adjustment.
  • Track active claims, potential claims, change orders, retainage, disputed payments, and other recovery efforts.
  • Prepare and organize supporting records for payment requests, collection efforts, and dispute resolution.
  • Establish consistent contract administration and documentation procedures across projects.
  • Help project teams maintain complete, accurate, and timely contract files.
  • Serve as the primary internal point of coordination with outside legal counsel.
  • Gather project records and information requested by attorneys and monitor the status of legal matters.
  • Provide practical contract-related guidance to Project Managers, Superintendents, Finance, Estimating, and Operations.
  • Identify potential contract or documentation issues early and recommend proactive next steps.

Must-Haves as the Construction Contracts and Claims Manager:

  • 3-7 years of experience within commercial construction.
  • Hands-on experience with contract administration, change orders, claims documentation, payment applications, and construction records.
  • Strong understanding of how construction projects, project teams, and contractual requirements work together.
  • Exceptional organizational skills and close attention to detail.
  • Ability to manage multiple deadlines, documents, claims, and payment issues at the same time.
  • Strong written and verbal communication skills.
  • Ability to build productive relationships with Project Managers, owners, architects, consultants, finance professionals, and legal counsel.
  • A proactive, solutions-focused approach to identifying and resolving problems.
  • Strong Microsoft Office and document management skills.

Nice-to-Haves as the Construction Contracts and Claims Manager:

  • Experience working for a commercial general contractor.
  • Familiarity with AIA contract documents.
  • Experience supporting public construction projects or public procurement requirements.
  • Experience preparing or coordinating Requests for Equitable Adjustment.
  • A JD, paralegal certification, construction management degree, or comparable construction contract experience.
  • Experience with retainage recovery, disputed payments, or construction claims resolution.
  • Experience developing standardized contract administration processes.
