Job description

The role  

The Night Proofreader Fellow ensures the high quality and accuracy of materials through attention to detail and superior proofreading skills. The Night Proofreader Fellow also proactively manages workflow of assigned projects. She/he also fulfills data permission requests, orders references and articles as well as maintains a library of all materials and their documentation. This role supports the department across all brands and media channels, as needed.  
A fellowship is an entry-level position designed to teach the employee the fundamental facets of advertising, the company and their departments. With a focus on training, our Fellows will have the opportunity to participate in training courses such as Business Writing, Negotiation Skills and Presentation Skills; as well as lunch and learns to understand how each department partners services our clients.

What we expect from you  

Provide outstanding proofreading services for all designated projects  

Follow established procedures/guidelines to ensure consistent work quality  

Performs quality control measures on files created by the studio by comparing to back-up and running a spell-check.  

Checks changes on extensive alteration rounds  

Performs an initial edit/cold read for projects originating in the studio  

Manages and fulfills research librarian requests to order data permissions, references or articles  

Maintains organized catalog of materials and their documentation  

Collaborates with the studio team as well as the project managers.  

Has a keen eye for details and can spot a needle in a haystack  

Follows-up and follows-through on all assignments while paying close attention to deadlines  

Can work quickly, cleanly, efficiently, and effectively under pressure  

Adheres to and monitors agency guidelines related to file naming, file and folder management, back-up/archiving, and un-archiving of files.  

Keeps Studio Manager informed when said guidelines are not being followed.  

Attends departmental meetings when scheduled  

Demonstrates high level of efficiency in proofreading materials for spelling, grammar, punctuation, syntax, usage, and consistency  
Has cross platform proficiency and can work comfortable on a PC or a Mac  

Has a solid understanding of Adobe Acrobat and uses proper editorial proofreader’s marks  

Has a proficiency in Microsoft Office Suite (PowerPoint, Word, Excel)  

Projects “customer-centric” attitude in all interactions (internal and external), promoting a positive agency and team atmosphere  

Projects a professional image, always remaining calm despite high pressure situation  

Complies with HPS procedures and practices with regard to workflow and file management  

When applicable, alerts managers when client/account input may cause job to go over budget or deadline  

Performs other duties as assigned by the Studio Director, Director of Operations, or the Studio Manager  

Demonstrates a proactive approach to enhancing the position and is a proponent for new efficiencies and techniques  

Assists in training freelancers and new employees  

Manages time efficiently and is able to set priorities and meet deadlines while handling multiple projects 

Excels at his/her daily work  

Maintains accurate and up-to-date time sheets  

Background/experience and skills  

Bachelor's degree  

Working knowledge of current AMA style (10th edition)  

Excellent interpersonal, written, and oral communication skills  

Proficiency in English grammar and usage  

Familiarity with digital media (navigating web/device interfaces)  

Experience with digital routing systems  

Proficiency in MS Office, including Word, Excel, and PowerPoint  

Pharmaceutical advertising agency and medical education experience a plus  

Must be able to work flexible hours when needed  

Deadline driven, detail oriented, and organized with an enthusiasm for collaboration  

Problem-solving skills a must  

Must be a self-starter
