Job description

The Events & Programs Coordinator is responsible for planning, organizing, and executing Chamber programs and events from concept to completion, on a monthly, quarterly, and annual basis. This is a take-charge role that requires anticipating project needs, discerning work priorities, and meeting deadlines with little supervision, including occasional evenings and weekends. The ideal candidate has a love for special event management, provides outstanding customer service, and is skilled at building relationships with internal and external partners.


Event Planning & Program Production


  • Plan, organize, and execute Chamber programs and events, from concept to completion, including budgets, sponsorship packages and sales, marketing materials, and preliminary, on-site, and post-event production. Support and coordinate a range of Chamber programs, from smaller monthly events to larger signature events.
  • Develop timelines, agendas, budgets, and logistical details including venue selection, catering, vendors, A/V, and on-site management.
  • Assist with negotiations for space contracts and book event space; arrange food and beverage, order supplies and audio-visual equipment, etc.
  • Conduct research, make site visits, and uncover resources to aid staff in making decisions about program and event possibilities.
  • Create and revise room layouts for each program and event as needed.
  • Serve as liaison with vendors on event-related matters.
  • Manage event registration, attendee engagement, on-site production, clean-up, and post-event evaluations.
  • Prepare event materials.
  • Propose new ideas to improve the event planning and implementation process, and close out all programs and events as required.


Event Administration


  • Oversee sponsorship development and sales to reduce costs and increase revenue, ensuring each event meets or exceeds budget.Track financials, monitor program budgets, and provide periodic progress and cost-analysis reports to the President & CEO.
  • Keep track of event finances.
  • Coordinate site visits and schedule programs and events on the calendar.
  • Prepare and modify program and event contracts as requested.


Collaboration & Support


  • Work directly with the Chamber President & CEO and collaborate closely with the Chamber team.
  • Manage multiple projects and work assignments from a variety of staff and volunteers.
  • Support internal teams with materials and collateral for initiatives and signature events.


Core Competencies

  • Extremely organized, efficient, detail-oriented, and successful at meeting deadlines.
  • Excellent communication skills, including writing, proofreading, and speaking.Ability to manage multiple projects and work assignments from a variety of staff and volunteers.
  • Excellent interpersonal skills both in person and by phone, with high professionalism.
  • Ability to accomplish projects with little supervision.
  • Exceptional customer service ethic and high expectations for quality.Willingness to learn new skills and adapt to growing and evolving job responsibilities.
  • At least 3 years' experience coordinating special events, preferably for non-profits.
  • Proficient using the latest version of Microsoft Office, including Word, Excel, PowerPoint, Publisher, and Outlook.
  • Adept at mail merges, email, and web searches.


Working Conditions

  • Full-time, primarily office-based in Downtown Chandler, with flexibility for early mornings and evening events.
  • Requires reliable transportation for off-site events; valid driver's license required.
  • Ability to lift up to 50 lbs; frequent standing and walking at events.
