A Project Coordinator plays a key role in converting inbound leads into actionable service opportunities. This position is essential to securing new business, coordinating schedules, and supporting field operations by managing complex customer interactions with professionalism and efficiency. The Client Experience team supports over 90% of customer inquiries as well as work closely with field and sales teams to fulfill customer requests and organize complex schedules for project managers across the U.S. Success in this role requires exceptional communication skills, strong organizational abilities, and a consultative approach to customer engagement. By delivering seamless and responsive customer experience, the Project Coordinator directly contributes to client satisfaction and the continued growth of GPRS.


Job Goals:
Deliver Outstanding Client Experience

Engage and convert inbound leads through responsive, consultative service. Ensure every customer interaction is professional, personalized, and focused on driving value.

Sales-Driven Scheduling & Coordination
Schedule and assign field Project Managers. Align pricing and coordination with customer expectations to support successful sales outcomes and efficient project delivery.

Stakeholder Communication & Collaboration
Serve as the key liaison between field, sales, customer, and corporate teams. Keep all parties informed and aligned to ensure smooth execution and exceptional service.

Consultative Project Support
Recommend tailored solutions based on customer needs. Leverage internal expertise to identify opportunities that enhance satisfaction and drive business growth.

Emotional Intelligence & Team Collaboration
Build strong relationships through empathy and professionalism. Navigate complex conversations with confidence, balancing customer needs with operational capabilities.


Job Responsibilities:

  • Respond promptly and professionally to incoming leads via phone, email, or web inquiries.
  • Engage with potential clients to understand their needs, project requirements, and timelines.
  • Provide tailored solutions and project proposals to secure new business and foster long-term client relationships.
  • Collaborate with Project Coordinators to oversee the daily scheduling and optimization of 25+ Project Managers.
  • Ensure projects are accurately priced, efficiently assigned, and deadlines are met.
  • Coordinate internal resources and external vendors to ensure timely completion of tasks.
  • Facilitate seamless communication and alignment between Field, Sales, and Corporate teams.
  • Organize and lead logistics and scheduling, providing regular updates to all stakeholders.
  • Maintain accurate and up-to-date project documentation, including plans, contracts, schedules, and communications.
  • Demonstrate high emotional intelligence in interactions, building positive relationships with customers and team members.

This is a full time onsite position Monday thru Friday.

  • Minimum 2+ years of experience in sales operations, customer service, or related field.
  • Proficiency in Microsoft Office and Teams, and CRM experience
  • Demonstrated proficiency in using ERP systems with the ability to maintain accurate data and support operational processes.
  • Skilled at building real connections with potential customers-turning interest into action through thoughtful conversations, timely follow-ups, and a knack for guiding decisions with subtle influence
  • Experience in logistical coordination and scheduling, overseeing the daily optimization of field crews and a dispersed workforce.
  • Strong communication skills to act as a liaison between various teams, ensuring seamless communication and alignment.
  • Ability to provide tailored solutions based on customer needs, leveraging internal knowledge and training.
  • Demonstrated high emotional intelligence in interactions, building and maintaining positive relationships with customers and team members.
  • Proactive in identifying potential challenges or risks and proposing effective solutions.
  • Experience in maintaining accurate and up-to-date project documentation, including plans, contracts, schedules, and communications, with the ability to read and understand project plans and plan rooms.
