Job Summary:

Salt River Connect exists to help SMB and enterprise customers solve problems with innovative, easy-to-use technology and communications solutions. The Project Coordinator will play a critical role as we deploy our solution to new customers and locations.

The Project Coordinator supports the day-to-day execution of large-scale enterprise telephony migrations. This role owns deployment tracking, meeting logistics and documentation, cross-party coordination between the wholesaler, partner, and customer, order/shipment visibility, and coordinating any other changes or logistics needed to support this project. This is a detail-heavy, high-volume coordination role suited to someone comfortable managing many concurrent workstreams across multiple external parties.

Success in this role looks like:

  • Deployment tracking accuracy: The deployment tracker is current, accurate, and reflects real-time phase status across all in-flight locations. This includes coordinating shifts in schedules and delays within the project. Communications, including internal and external tickets, are updated in a timely fashion
  • Meeting cadence & documentation: Recurring status calls are scheduled, run smoothly, and generate clear, timely notes and action items.
  • Cross-party coordination: Provisioning, porting, installation, and training tasks move forward on schedule across the wholesaler, partner, and customer without dropped handoffs.
  • Order & shipment visibility: Hardware orders and shipments are tracked end-to-end, with issues flagged before they impact install dates.
  • Reporting and visibility: Project boards (Monday.com) and trackers (Confluence) stay clean, current, and useful for customers, partners, teams, and leadership visibility.

Essential Duties and Responsibilities:

Project Planning & Management

  • Define project scope, objectives, deliverables, timelines, and resource requirements in collaboration with stakeholders
  • Build and maintain detailed project plans, schedules, and status trackers for all active projects
  • Manage multiple concurrent project workstreams
  • Identify, document, and proactively mitigate project risks, issues, and dependencies
  • Facilitate meetings, milestone reviews, and post-implementation retrospectives
  • Maintain project documentation including SOWs, change orders, cutover plans, and closeout reports
  • Continuous tracking of team bandwidth and project resources to align project work with realistic timelines, or escalate when resource issues are a barrier

Cross-Functional Team Coordination

  • Coordinate project tasks and timelines across all teams and workstreams
  • Serve as the primary point of coordination for all internal resources assigned to a project
  • Work with team leads to ensure resource availability and workload balance across active projects
  • Escalate resource conflicts, bottlenecks, or scope changes to leadership with clear options and recommendations
  • Proactively track and follow up on outstanding items (porting, provisioning, training, onsite install) across all parties involved

Stakeholder Communication

  • Maintain internal and external project plans, potentially in multiple systems; track due dates, assignments, and potential delays
  • Serve as the primary project point of contact for partners, customers, vendors, and key stakeholders throughout the implementation or migration lifecycle
  • Deliver clear, consistent project status updates to internal and external stakeholders and leadership
  • Conduct kickoff meetings, ongoing status calls, and post-project review meetings
  • Manage stakeholder expectations with professionalism, transparency, and a solutions-oriented approach

Vendor & Technology Partner Management

  • Coordinate with technology vendors, platform providers, and subcontractors on project deliverables and timelines
  • Hold external partners accountable to agreed milestones and escalate issues as needed
  • Monitor hardware orders and shipments from the distributor; maintain visibility into shipment status per store, including any delays or lost packages. Coordinate between connected parties for contingency planning
  • Support and help maintain shipment tracking automation (e.g., project-board email intake and inbox routing rules)

Process Development & Continuous Improvement

  • Develop and maintain standardized project templates, playbooks, and delivery frameworks for common project tasks
  • Document lessons learned and best practices from completed projects to improve future delivery
  • Identify opportunities to streamline cross-team handoffs, reduce implementation timelines, and improve the customer experience

Education and Experience Requirements:

  • Associate's degree or equivalent experience; Bachelor's degree a plus PMP, CAPM, or equivalent project management certification preferred
  • 3+ years of project coordination experience; technical implementations involving VoIP, UCaaS, SIP trunking, or broadband services strongly preferred
  • Experience coordinating cross-functional teams including engineering, operations, and customer-facing roles
  • Experience with HaloPSA, Jira, Monday, or comparable project tracking tools
  • Familiarity with telecom platforms such as Metaswitch, NetSapiens, or similar hosted PBX environments preferred but not required
  • Experience managing vendor and technology partner relationships in a project delivery context
