Warranty Administrator

Location: Indiana Dodge Dealership
Position Type: Full-Time, Salaried
Salary: $70,000-$80,000 annually (based on experience)

Our Indiana Dodge dealership is seeking an experiencedย Warranty Administrator to join our team. We are looking for a motivated, detail-oriented professional with dealership warranty experience who thrives in a fast-paced environment and takes pride in accuracy, organization, and accountability.

The successful candidate will oversee the complete warranty process, including claim submission, warranty receivables, and schedule management, while working closely with the Service and Accounting departments to ensure timely reimbursement and compliance with manufacturer requirements.

Key Responsibilities
  • Prepare, review, and submit manufacturer warranty claims accurately and in a timely manner.

  • Verify repair orders for proper documentation and manufacturer compliance.

  • Monitor warranty claim status and resolve rejected, unpaid, or disputed claims.

  • Manage warranty receivables and clear warranty schedules on a regular basis.

  • Reconcile warranty receivable accounts and research outstanding balances.

  • Ensure all warranty documentation is complete and audit-ready.

  • Maintain accurate records and support manufacturer warranty audits.

  • Communicate effectively with Service Advisors, Technicians, Parts, Accounting, and Service Management to resolve warranty-related issues.

  • Stay current on manufacturer warranty policies, procedures, and updates.

  • Assist with additional administrative duties as needed.

Qualifications
  • Previous automotive dealership Warranty Administrator experience is required.

  • Experience using Dealertrack DMS is strongly preferred.

  • Strong understanding of manufacturer warranty policies and claim processing.

  • Experience managing warranty receivables and account reconciliations.

  • Excellent organizational skills and exceptional attention to detail.

  • Ability to prioritize multiple responsibilities while meeting deadlines.

  • Strong communication and problem-solving skills.

  • Proficiency in Microsoft Office, particularly Excel and Outlook.
