Job description

Job Summary:

The Regional Manager is a leadership role responsible for overseeing the management and operational aspects of a portfolio of communities within the Build-to-Rent (BTR) sector. This role demands a profound understanding of property management, resident relations, operational efficiency, and technology integration, aimed at ensuring an exceptional standard of living for residents while optimizing community performance.

Portfolio Management:

  • Coordinate and implement portfolio-wide strategies for XXX properties to achieve or exceed budgeted occupancy rates and maximize revenue.
  • Oversee on-site management and leasing staff, centralized portfolio support, and collaborate with company support, corporate departments, and other divisions to achieve optimum results, technology platforms, and best practices for both stabilized communities and lease-up projects.
  • Create efficiencies and cost saving measures while optimizing performance of the team and each community, resident engagement, and financial results.

Operational Excellence:

  • Manage property operations' team members, including resident support roles, leasing staff where applicable, portfolio/community managers, and service work order coordination to enhance resident satisfaction.
  • Coordinate with department heads or corporate support for construction, marketing, leasing, accounting, or other project-related/peak season needs, including Marketing and Leasing Department Heads to develop sales and marketing strategies, lease-up plans, and special campaigns on a quarterly or market-driven basis.
  • Work to meet or exceed occupancy goals, striving for 100% occupancy.
  • Streamline the on-site lease application process and provide guidance for exception processes following the Rental Qualifying Criteria (RQC).
  • Build relationships with vendors for cross-promotional purposes.

Resident Relations:

  • Foster positive resident relationships by addressing concerns, resolving disputes, and maintaining open lines of communication. Create strategies for pro-active resident outreach and satisfaction surveys.
  • Oversee the resident onboarding (or move out) process, ensuring a smooth move-in experience and effective orientation to property amenities and services.
  • Manage the development and execution of resident renewal campaigns with on-site staff.
  • Maintain accurate resident records in accordance with Company & Fair Housing policy.

Team Leadership and Development:

  • Recruit, train, and mentor onsite teams for stabilized communities, centralized support teams and creating development plans and staff projections each quarter for performance reviews, 306090 plans, and scalability plans with lease up conversion to stabilized at 90% occupancy.
  • Partner with HR to update KPIs or evaluation measures based on changing job scopes.
  • Maintain a working knowledge of all software programs used in property management.

Community Asset Management & Financial Management:

  • Develop and manage property budgets for the communities by analyzing financial statements, reviewing marketing information, and assessing operational reports to establish performance patterns.
  • Monitor expenditures, utility consumption and other related property expenses for savings, efficiency and to ensure they are within budget.
  • Work with Accounting to maintain financial control.
    • Audit lease documents and pre-lease reports quarterly for accuracy.
    • Monitor the ambience, cleanliness of model homes, tour paths, and general curb appeal through team efforts and oversight.
    • Review the website thoroughly and report needed changes to the corporate team.

Compliance and Legal:

  • Provide reporting to internal and external contacts, including investors.
  • Respond to ad hoc questions, special projects, and inter-departmental requests.
  • Monitor and review Asset Management reports on a pro-active basis along with a formal monthly review / variance report.
  • Regional / Portfolio support for Business Insurance or Risk Management coordination related to property operations and HOAs.
  • Ensure properties adhere to local, state, and federal regulations, including fair housing laws and health and safety standards.
  • Manage legal matters related to property management, including lease agreements, evictions, and other tenant-related issues.
  • Ensure compliance training completion, fair housing processes and onsite audits where applicable.

Qualifications:

  • 5 plus years of progressive experience in residential property management, with a focus on the Build-to-Rent sector.
  • Strong analytical skills, technology savvy, advanced excel user and forward thinking to support future based BTR trends.
  • 3+ Leadership experience, including team management and development.
  • Bachelor's degree preferred in business, Real Estate, Property Management, or a related field.
  • Certified Property Manager designation a plus / Certificate-based Property Management training credentials.
  • Licensed Texas realtor agent or broker preferred.
  • Proven track record of successful portfolio management and operational leadership.
  • Strong financial acumen and experience managing budgets and financial performance.
  • Excellent interpersonal and communication skills, with the ability to build and maintain positive tenant relationships.
  • Familiarity with property management software and technology solutions.
  • Knowledge of relevant laws and regulations governing property management.
  • Strong Technology literacy and solid understanding of property operation systems such as Knock, Yardi, and AI software

Work & Job Scope Environment:

  • Adheres to a set work schedule, Monday through Friday with holiday and weekend coverage at times, but a minimum of 1-2 times per month during peak seasons or times of coverage needs.
  • Ability to access, input, and retrieve information from a computer and/or electronic device.
  • Ability to have positive, professional, and effective communications at all levels including residents, prospects, vendors, executives, investors, customers, co-workers and others as needed.
  • Ability to sit or stand for long periods of time.
  • Ability to move around work environment including stairs and construction sites.
  • Comply with company policies and procedure.
  • Lift or move items up to 25 pounds.
