Job description

Position Summary:

The Volunteer Relations Specialist supports the development, coordination, and retention of a strong volunteer workforce. This role manages all aspects of the volunteer lifecycle—including recruitment, onboarding, training, scheduling and engagement—to ensure volunteers are effectively integrated into SYHealth programs and services. The Volunteer Specialist works closely with staff, community partners, and volunteers to create a positive, missionaligned volunteer experience.

Essential Functions of the Job: 

  • Assist Talent Acquisition Manager with implementing policies and procedures for the SYHealth Volunteer Program
  • Develop and implement strategies to attract qualified volunteers for a variety of roles.
  • Build relationships with community partners, schools, universities, and SYHealth partners to expand volunteer pathways.
  • Represent SYHealth at outreach events, fairs, and presentations.
  • Manage the volunteer application, screening, health screening and background check process.
  • Manages the volunteer offboarding process
  • Conduct orientations and provide rolespecific training to ensure volunteers are prepared and supported.
  • Maintain uptodate training materials, manuals, and resources.
  • Match volunteers to appropriate roles based on skills, interests, and program needs.
  • Create and manage volunteer schedules, ensuring adequate coverage for programs and events.
  • Serve as the primary point of contact for volunteer inquiries, concerns, and support.
  • Foster a positive volunteer culture through ongoing communication, appreciation efforts, and recognition events.
  • Monitor volunteer satisfaction and implement strategies to improve retention.
  • Track volunteer hours, performance, and impact metrics.
  • Maintain accurate volunteer records in the volunteer management system.
  • Prepare reports on volunteer activity, program outcomes, and recruitment trends.
  • Ensure compliance with SYHealth policies and regulatory requirements.
  • Partner with program staff to identify volunteer needs and develop role descriptions.
  • Support staff in supervising volunteers and ensuring alignment with program goals.
  • Assist with planning and staffing SYHealth events that require volunteer participation.

Additional Duties and Responsibilities:

  • May support additional HR Department functions as needed.
  • Performs other duties as assigned.

Job Requirements:

Education Required:

  • High School Diploma/GED Equivalent or Experience in Lieu of Education

Experience Preferred (Minimum level of experience):

  • At least 2 year’s experience in volunteer coordination, recruitment and community engagement.

Verbal and Written Skills Required to perform the Job:

  • Must possess excellent verbal and written communication skills.
  • Ability to effectively communicate with diverse groups and interdepartmentally with Hiring Managers, and community members of all levels.

Technical Knowledge and Skills Required to Perform the Job:

  • Strong interpersonal and communication skills, with the ability to work effectively with diverse groups.
  • Excellent organizational and timemanagement abilities.
  • Proficiency with maintaining databases, scheduling tools, social media, Microsoft Office (Microsoft Word, Outlook, Excel PowerPoint, Co Pilot) or similar platforms.

Equipment Used:                 

  • Personal Computer, Phone, ATS System, Virtual Conference Call software

Working Conditions and Physical Requirements:

  • Reliable transportation to travel throughout San Diego County.
  • Ability to work occasional evenings or weekends for events and/or outreach.
