The Opportunity:

YSM is seeking aVolunteer Support Administratorwho will recruit, onboard, coordinate and support volunteer healthcare professionals at the Evergreen Health Centre. The incumbent will also provide administrative and reception support to Health Centre programs as needed. The incumbent will work part-time 22.5 hours per week. The successful candidate will further develop skills in building relationships, recruitment and retention, scheduling, healthcare administration and reception.

Responsibilities:


  • Identify ongoing volunteer recruitment needs
  • Work closely with the Volunteer Resources department to recruit new volunteers and support existing volunteers
  • Promote the health centre in external communications and outreach events
  • Provide administrative support for strategic partnerships
  • Support the screening and processing of all new volunteer applications
  • Coordinate interviews and meetings as needed
  • Coordinate volunteer, student and partner schedules
  • Create, update, maintain and distribute monthly health centre services calendar
  • Onboard and provide basic training for new volunteers, students and partners
  • Provide basic administrative and technical support to volunteers, students and partners while on-site
  • Liaise and coordinate with volunteers as needed (e.g. schedule, parking, cancellations)
  • Ensure volunteer recognition and retention (e.g. annual appreciation event, thank you cards)
  • Maintain and update volunteer records for professional liability and credentialing
  • Update and support volunteers with health centre policies and procedures
  • Ensure accurate tracking of volunteer data (e.g. volunteer shift, contact information, volunteer status etc.)
  • Ensure accurate tracking of volunteer statistics (e.g. new volunteers, archived volunteers)
  • Assist with proposals and reports for funding/partnerships as needed
  • Assist with statistical data collection and reporting as needed
  • Assist with processing invoices, gift in kind donations
  • Provide relief support for health centre reception as needed:
    • Provide a welcoming and warm atmosphere to community members, volunteers, students and staff
    • Ensure privacy and confidentiality
    • Manage the flow of the reception area, directing visitors, contractors and deliveries
    • Manage conflict and ensure safety
    • Manage and answer calls, emails, faxes, mail and redirect as necessary
    • Schedule and coordinate clinic appointments with community members, volunteers and staff
    • Manage wait lists, screening, intake and registration of new patients
    • Input and update data in several databases including Paradigm, CHR EMR, OSCAR EMR, Google sheets and Salesforce
    • Ensure accurate data entry and documentation
    • Connect community members to internal and external resources
    • Maintain infection prevention and control measures
  • Respond to emergency situations in accordance with YSM policies and procedures; including assessing when to call for assistance
  • Be an active team member of the wider YSM community

Qualifications:


  • Experience supporting volunteers in a non-profit organization
  • Strong interpersonal and conflict resolution skills
  • Prompt, reliable, adaptable, self-motivated, conscientious and innovative
  • Strong verbal and written business English communication skills
  • Ability to motivate, support and appreciate diverse volunteer groups
  • High attention to detail for accurate record-keeping, evaluation and reporting
  • Proficiency in MS Office, Google Drive, Volunteer Hub (or similar)
  • Excellent working knowledge of EMRs, Salesforce an asset
  • Experience in reception work or office administration an asset
  • Understanding of medical terminology an asset
  • Experience working with vulnerable and marginalized populations an asset
  • Experience working in a multicultural, multi-faith setting, and those with multiple challenges
  • Ability to professionally and compassionately handle confidential, sensitive material
  • Training in crisis prevention intervention, trauma-informed care, and CPR First Aid is an asset
  • A demonstrated personal commitment to the principles of faith values and mission of YSM
  • A Police Record Check (Vulnerable Sector) is required


Compensation:YSM will pay a starting pay rate of$24,478.09per year (prorated for part-time) for this role,combined with a comprehensive suite of benefits and perks.
