What is a volunteer event coordinator?

Volunteer Event coordinators are individuals responsible for planning, organizing, and overseeing events that rely on volunteers. They recruit and manage volunteers, coordinate event logistics, and ensure the event runs smoothly. Their duties often include communicating with participants, handling registrations, and providing support before, during, and after the event. This role is essential for ensuring that charitable, community, or fundraising events achieve their objectives through effective volunteer engagement.

What skills and qualifications are needed to thrive as a volunteer event coordinator?

To thrive as a Volunteer Event Coordinator, you need strong organizational skills, time management, and experience in event planning or volunteer management, often supported by relevant coursework or volunteer experience. Familiarity with event management software, online registration platforms, and communication tools like email marketing systems is highly beneficial. Outstanding interpersonal skills, adaptability, and problem-solving abilities help you motivate volunteers and manage unexpected challenges. These competencies ensure successful event execution, high volunteer engagement, and positive participant experiences.

What are common challenges faced by volunteer event coordinators, and how can they be managed effectively?

Volunteer Event Coordinators often encounter challenges such as coordinating schedules among diverse volunteers, managing last-minute changes, and ensuring clear communication across all team members. These can be managed by using organizational tools like shared calendars, holding regular briefings, and fostering an open, supportive environment where feedback is encouraged. Proactively addressing potential issues, such as volunteer no-shows or resource shortages, with contingency plans can help events run smoothly and improve volunteer satisfaction.

Job description

Be a calm presence and make a new friend when volunteering at Tamarisk!

Volunteers provide regularly scheduled respite for caregivers and companionship for the client. For approximately 2 hours each week, Tamarisk volunteers visit with client while the family caregiver is occupied or away. During visits, Tamarisk volunteers socialize, play cards and other games, puzzles, watch a movie or listen to music with the companion. Volunteers are matched with a companion who shares similar interests so the activities depend on what both enjoy doing.

Tamarisk has seen a significant increase in the number of families this past year who need support and are put on a wait list. This service is made possible through the many efforts of volunteers.

Tamarisk is also looking for an office ninja who enjoys data and would provide administrative assistance to the program director. An interested volunteer would maintain various databases, record volunteer hours and organizational statistics, assist with mailings, typing, photocopying, and filing. May answer the phone and return calls as needed. Volunteers would be proficient with Microsoft Office Suite, email and internet. This could be done for a couple hours each week.

We look forward to hearing from you to discuss attending an upcoming volunteer event or to begin the training process.
