Job Description

The VFX Coordinator position will manage the day-to-day administrative functions for the EVP of Visual Effects, as well as interfacing with a variety of creative clients and high-level executives.

Essential Responsibilities:

  • Supports the EVP, VFX in the daily running of the department, taking notes on all projects in various stages of production, managing various calendars & databases to ensure smooth operations of the studio
  • Manages any required distribution of digital materials for assigned Universal Pictures films in various phases of production
  • Research and organizes exploratory opportunities for up-and-coming innovative technology, ideas and projects
  • Provides support for accounting functions, such as processing invoices, submitting expense reports and purchase orders
  • Arranges all travel & accommodations for our internal and project-based teams
  • Assist with all office duties (telephones, schedules, calendar, files, correspondences, travel, expense, reports, etc.) for EVP of Visual Effects
  • Assist in research of potential VFX crew hiring
  • Assist in on-boarding of any new freelance staff
  • Schedule meetings (production, finance, asset, clearances, computer support, labor relations, marketing, product placement, security, insurance, etc.) with filmmakers and/or studio department heads specific to each project
Qualifications

Basic Qualifications:

  • Experience: Minimum of 2 years of experience in a VFX coordination role or similar position.
  • Technical Skills: Proficiency with the Apple platform, Word, Excel, Filmmaker Pro, Airtable
  • Communication Skills: Superior interpersonal skills in both verbal and written communications
  • Organizational Skills: Strong organizational and multitasking abilities.
  • Attention to Detail: Acute attention to detail and a commitment to delivering high-quality work.
  • Team Player: Ability to work collaboratively in a fast-paced environment.
  • Prioritization: Ability to prioritize multiple requests and projects in fast-paced, deadline driven environment
  • Anticipation: Proven ability to anticipate needs and proactively address issues or concerns

Additional Requirements:

Hybrid: This position currently has a hybrid schedule, which requires contributing from the office a minimum of four days per week. The Company reserves the right to change in-office requirements at any time.
