Description

ATSI is looking for a highly organized and self-motivated Program Support Specialist to provide day-to-day administrative, operational, and programmatic support across a range of organizational functions. This individual contributor role requires someone who can manage competing priorities with minimal supervision, communicate clearly across all levels of an organization, and maintain accuracy and professionalism in all work products. The ideal candidate is proactive, detail-oriented, and comfortable working in a fast-paced environment that spans program coordination, facilities, digital platforms, and research resource management.


Program & Event Coordination

Coordinate and facilitate recurring program review sessions and panels, including scheduling, room setup, materials preparation, and post-event follow-up.

Track program submissions, proposal statuses, and participant confirmations using spreadsheets and shared folders.

Compile and distribute presentation materials, decision documents, and program outcomes.

Maintain organized file systems for multi-year program cycles and ensure records are current and accessible.

Draft guidance documents and respond to data calls to support program continuity.


Data & Information System Management

Enter, update, and maintain records in organizational databases and information management systems, including proposals, funding data, and project statuses.

Perform routine data hygiene tasks such as removing obsolete records and ensuring system accuracy.

Generate reports and pull data to support leadership decision-making and program reviews.

Manage reference records such as work authorizations, funding objects, and organizational identifiers.


Administrative Support

Draft and distribute internal communications such as newsletters, meeting minutes, and announcements.

Prepare letters of support, professional correspondence, and other written materials on behalf of leadership.

Coordinate and process administrative actions including purchase requests, travel packages, personnel access requests, and public affairs submissions.

Plan and support internal events such as seminars, lunch-and-learn sessions, and multi-day organizational activities.

Maintain and update group rosters, contact lists, and organizational reference documents.


Facilities & Space Management

Manage reservation requests and day-to-day operations for shared conference and collaboration spaces.

Ensure meeting spaces are properly prepared, cleaned, and secured before and after use.

Maintain visitor logs, perform opening and closing procedures, and support physical security requirements for assigned spaces.

Submit and track work orders for facility maintenance, A/V issues, and equipment needs.

Coordinate the disposition of excess or outdated equipment and supplies.


Digital Workspace Administration

Maintain organizational SharePoint and Teams environments, including removing outdated content, reorganizing files, and keeping information current.

Upload and archive historical records and program files to appropriate digital repositories.

Support team members with navigation, access, and use of collaborative digital platforms.

Update group pages, membership lists, and site structure to reflect current organizational needs.

Requirements

  • Bachelor's Degree and 2+ years of experience in an administrative, program support, or operations role.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and SharePoint/Teams.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines independently.
  • Excellent written communication skills; comfortable drafting professional documents and correspondence.
  • Attention to detail and commitment to accuracy in data entry and record management.
  • Ability to handle sensitive information with discretion and professionalism.
  • Ability to maintain a Secret level security clearance.


Preferred

  • Experience supporting research, science & technology, or government programs.
  • Familiarity with research information management or proposal tracking systems.
  • Experience coordinating events, conferences, or speaker series.
  • Knowledge of library or research commons services and access management.
  • Experience working in or supporting secure/classified environments.
