Our client, a respected organization in downtown Dayton, is seeking an experienced Administrative Assistant/Receptionist to serve as the welcoming face of the office while providing critical administrative and event support across the organization.

As an Administrative Assistant/Receptionist, you will play a key role in supporting daily operations, coordinating meetings and events, managing communications, and ensuring a professional experience for visitors, staff, and stakeholders.

What You'll Do

The Administrative Assistant/Receptionist will be responsible for a wide variety of administrative and organizational functions, including:

  • Creating agendas, announcements, meeting materials, memos, and other business documents using Microsoft Word

  • Developing and maintaining spreadsheets, reports, tables, and data tracking tools in Microsoft Excel

  • Assisting with PowerPoint presentations, updating slides, creating name tents, and utilizing presentation templates

  • Supporting hybrid and virtual meetings through Zoom, including breakout rooms, polls, surveys, attendee management, and technical troubleshooting

  • Managing calendars, databases, and administrative communications

  • Assisting with website updates and digital communications

  • Utilizing Constant Contact for marketing communications and outreach efforts

  • Maintaining membership rosters, tracking information, and managing conference room reservations through Google Sheets

  • Supporting office process improvements, including the use of AI tools and technology

  • Coordinating employee celebrations, board meetings, committee meetings, holiday events, and catered functions

  • Providing professional phone coverage and managing multi-line phone systems and switchboards
