Bilingual Legal Secretary
Pay: $54,721-$68,773 Annually (DOE)
Schedule: Monday-Friday
Hours: 8:00am-5:00pm

A mission-driven nonprofit organization is seeking a Bilingual Receptionist to serve as the first point of contact for clients, visitors, and community members. This role is responsible for creating a welcoming environment while providing administrative, clerical, and operational support in a fast-paced office setting. The ideal candidate is highly organized, customer-focused, and comfortable working with individuals from diverse backgrounds

Position Summary-
  • Greet and assist clients, visitors, and guests.
  • Answer, screen, and route incoming phone calls.
  • Schedule appointments and coordinate meetings.
  • Manage mail, deliveries, office supplies, and reception area organization.
  • Perform data entry and maintain accurate records.
  • Assist with event coordination, travel arrangements, and administrative projects.
  • Support office operations, equipment troubleshooting, and general clerical functions.

Essential Job Duties-
  • Serve as the primary point of contact for clients, visitors, and community members, creating a welcoming, professional, and service-oriented environment.
  • Greet visitors, determine the purpose of their visit, and direct them to the appropriate staff member or department.
  • Answer, screen, and route incoming phone calls, respond to inquiries, take detailed messages, and schedule appointments.
  • Coordinate client check-ins, maintain visitor logs, and support daily front desk operations.
  • Receive, sort, and distribute incoming mail, packages, and deliveries; prepare outgoing correspondence and shipments.
  • Maintain reception, conference rooms, and common areas to ensure a clean, organized, and professional office environment.
  • Perform accurate data entry, document processing, filing, and records management while maintaining confidentiality and attention to detail.
  • Provide administrative support including calendar management, meeting coordination, correspondence preparation, and general office organization.
  • Assist with planning and coordinating meetings, trainings, community events, and both in-person and virtual gatherings.
  • Monitor office supply inventory, order materials as needed and assist with vendor communications and purchasing activities.
  • Coordinate travel arrangements, lodging reservations, scheduling logistics, and related administrative documentation.
  • Troubleshoot basic office equipment issues and liaise with vendors regarding printers, copiers, phone systems, internet services, and other office technology.
  • Maintain accurate records, track expenses, and support operational and administrative projects as assigned.
  • Follow office security procedures, manage visitor access, and ensure compliance with organizational policies and safety protocols.
  • Collaborate closely with leadership and team members to support departmental goals, special projects, and ongoing office operations.
  • Provide exceptional customer service while interacting with individuals from diverse backgrounds and handling sensitive information with professionalism and discretion.

Requirements-
  • 2+ years of front desk, receptionist, customer service, or administrative experience.
  • Strong verbal and written communication skills.
  • Fluent or highly proficient Spanish language skills required.
  • Excellent organizational, multitasking, and problem-solving abilities.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • High school diploma or equivalent required.
