Job Duties:
- The CSS Administrative Specialist II perform general administrative duties for attorneys and child support specialists for the Child Support Services Division.
- Provides clerical support to teams in court by checking in customers, copying documents, notating dockets with attendance information and recording outcomes. Organizes files. Reviews orders to be filed and ensure all necessary documents are present and in order. Files orders with Clerk of Court.
- Completes quality assurance checklist for orders. Reviews paternity, support, or modified orders, and financial obligation entered for accuracy and completeness and that medical insurance was addressed on each order.
- Processes Administrative process pleadings - print, sign, and copy pleadings. Sends stamped pleadings to sheriff's departments, and court appearance letters to Custodial Parents.
- Scans orders and files received from Administrative process, Rule, and Judicial hearings into OnBase mail system. Ensure documents scanned into the correct electronic file.
- Ensures personal identifying information (Pll) is properly used, accessed, gathered, shared and disposed; protects the agency networks and applications by safeguarding systems, equipment, and data.
- Processes faxes and virtual conference participation authorization forms. Notes in PACSS receipt of documents, scans documents into OnBase, forwards to case managers.
- Establishes and maintains documents on computer using Palmetto Automated Child Support System (PACSS), Word, Excel, Outlook. Aids staff with maintenance of office equipment, vehicles, and supplies when requested. Organizes and stocks common work areas. Manages and maintains office supplies.
- Receives mail from mail-room staff and/or post office. Notes in PACSS when certified documents are received and forwards documents to staff. Scans documents as needed.
- Performs Red Cross shelter duty.
Minimum and Additional Requirements
A High School Diploma and two (2) years of clerical experience.
An Associate Degree or higher may be substituted for the required work experience.
Preferred Qualifications
Selected positions may require the ability to type at a corrected rate of 35 words per minute.
