Job description

We are looking for an experienced and dependable Legal Secretary to support daily office operations in Wisconsin. This contract-to-permanent opportunity is ideal for someone who enjoys balancing front-desk responsibilities with administrative coordination in a detail-oriented legal environment. The person in this role will help create a smooth office experience for visitors, attorneys, and staff while managing scheduling, communications, and document-related tasks. Success in this position requires strong organization, excellent service instincts, and the ability to handle multiple priorities with care and accuracy.
Responsibilities:
• Welcome clients, guests, and team members in a detail-oriented manner while maintaining an organized and inviting reception area.
• Manage incoming calls, direct inquiries appropriately, and ensure visitors receive timely assistance upon arrival.
• Coordinate conference room usage, oversee meeting calendars, and support in-person, virtual, and multi-office meeting arrangements.
• Prepare, revise, and proofread correspondence, reports, and other materials using Microsoft Office and firm-related systems.
• Maintain electronic and physical records by filing, retrieving, and organizing documents through document management tools.
• Assist with expense submissions, reimbursement support, and invoice processing while meeting internal deadlines.
• Monitor meeting details proactively, helping confirm room setup, technology readiness, and catering or hospitality needs.
• Respond to office and facilities-related requests under supervisor direction, including submitting work orders when needed.
• Support clerical and administrative projects such as mailings, file organization, and general office coordination tasks.
• Participate in office safety and emergency response procedures in coordination with local office leadership.• Prior administrative, receptionist, or legal support experience in an office setting that requires strong attention to detail.
• Strong calendar management skills with the ability to coordinate meetings across multiple participants and locations.
• Experience handling multi-line phone systems and directing calls accurately and courteously.
• Proficiency with Microsoft Office applications and confidence editing and proofreading business documents.
• Familiarity with document filing processes, including electronic records management and e-Filing.
• Excellent verbal and written communication skills with a consistent customer-service mindset.
• Ability to manage competing priorities, meet deadlines, and remain detail-oriented in a fast-paced environment.
