Job Summary

As a Marketing Events Specialist, you will play a key role in building Mizuho OSI’s brand awareness, enhancing customer engagement, and driving lead generation through in-person events. You will manage all aspects of event negotiation, planning, and logistics, ensuring that every event is professional, polished, and aligned with our brand values. Your ability to execute seamless events will directly contribute to the company’s growth and success.

 

The Marketing Events Specialist is responsible for planning and executing high-value company tradeshows, congresses, and meetings. This role collaborates closely with marketing, sales, and product marketing teams to create impactful events that promote the Mizuho OSI brand, drive awareness, and generate and accelerate pipeline growth. Your expertise in event management and cross-functional collaboration will be pivotal in ensuring the success of these events and advancing the company’s strategic goals.

 

 

Responsibilities

  • Event Calendar Management: Maintain the Mizuho OSI Congress & Event calendar to align with business needs.
  • End-to-End Event Execution: Oversee all event logistics, including project plans, vendor selection, venue sourcing, contract negotiation, product shipments and shipping, event registration, attendee accommodations, post-event surveys, and reporting.
  • Vendor & Budget Management: Negotiate with congress societies, vendors, and hotels to ensure events are executed within budget while maintaining high quality.
  • Lead Capture & CRM Support: Manage lead retrieval tools on-site and ensure timely, accurate import of leads into Salesforce/CRM systems with proper attribution tagging.
  • Event Content & Asset Coordination: Collaborate with the marketing team to ensure all event materials — booth graphics, one-pagers, digital assets, and email invitations — are on-brand and tailored to each event’s audience.
  • Performance Tracking & Reporting: Define and track key event metrics, including leads generated, pipeline sourced, cost per lead, and attendee engagement. Deliver post-event recaps with actionable insights to improve future events.
  • Cross-Functional Coordination: Serve as the central logistics hub for event stakeholders, aligning internal teams (Sales, Marketing, Product) on event goals, staffing plans, and follow-up workflows.
  • Complete and submit accurate expense reports according to the Expense Policy.
  • Understand, support, and follow the Corporate Vision, Mission & Values Statements.
  • Adhere to product FDA online marketing guidelines in all material created and posted. In addition, adhere to applicable GMP and ISO 13485 processes and procedures.
  • Understand, follow and support Mizuho OSI’s internal Quality System policies, procedures, and work instructions, including but not limited to applicable external regulations (21 Code of Federal Regulations Part 820 Quality System Regulations and applicable International Standards).
  • Perform other duties and responsibilities as assigned.

 

 

Qualification & Requirements

  • Education: Undergraduate degree in marketing, communications, business, life sciences, or a related field. Additional work experience may be considered in lieu of a degree.
  • Experience:
    • Minimum 2-5 years of experience managing tradeshows and vendor shows, preferably in the medical device or healthcare industry.
    • Proven track record of executing conferences and events end-to-end with minimal oversight.
    • Hands-on experience with virtual event platforms and tools such as Cvent.
    • Familiarity with lead retrieval tools (e.g., Popl, Blinq, Bizzabo, or badge scanners) is a plus.
  • Technical Skills:
    • Proficiency in Microsoft Office 365 particularly PowerPoint, Excel, Word, SharePoint, Outlook, and Teams.
    • Experience with project management collaboration tools like Asana, Monday.com
    • Working knowledge of Salesforce and marketing automation platforms like HubSpot.
  • Core Competencies:
    • Superior project management, negotiation, and collaboration skills.
    • Exceptional organizational skills with the ability to manage multiple events simultaneously.
    • Strong vendor management and budget management capabilities.
    • Self-motivated, detail-oriented, and results-driven with excellent communication skills.
    • Comfortable managing contract labor effectively.
    • Ability to clearly express oneself verbally in English (additional languages also preferred) effectively with employees and other business contacts in a courteous and professional manner.
    • Ability to clearly and effectively express oneself through written means, to properly use such technical factors as grammar, punctuation, vocabulary, and correct spelling.
    • Ability to travel up to 40-60% of the time, both domestically and internationally.
  • Preferred: Knowledge of the medical device and/or healthcare field and capital equipment.

Pay Scale: $86,000- $140,000 DOE + potential annual bonus + comprehensive benefits package
