Summary of the Position:

Tishman Speyer is seeking an Events Assistant to join the Studio team at 45 Rockefeller Plaza. Reporting to the Associate General Manager, the Hospitality Coordinator plays a vital role in delivering the exceptional hospitality experience that defines Studio. This individual is responsible for maintaining Studio in a constant state of operational and event readiness by owning the presentation of the space, hospitality operations, operational inventory, and the guest experience throughout all meetings and events.

The Events Assistant serves as the steward of Studio's physical environment, ensuring every client, guest, and visitor experiences a welcoming, polished, and impeccably maintained space. Working closely with the Associate General Manager, Ambassador, Property Management, Engineering, Security, IT, vendors, and catering partners, this role proactively identifies operational needs, resolves issues, and continuously improves the Studio experience.

Your key responsibilities:

Studio Standards & Space Presentation

Own the daily presentation and operational readiness of Studio.

Responsibilities include:

  • Conduct daily opening, midday, and end-of-day Studio walkthroughs.

  • Maintain all meeting rooms, event spaces, hospitality areas, storage rooms, and common spaces to Studio standards.

  • Ensure furniture layouts, room configurations, signage, decor, lighting, and presentation align with approved Studio standards.

  • Maintain cleanliness of glass, whiteboards, furniture, hospitality stations, and guest-facing areas.

  • Ensure Studio remains presentation-ready for scheduled and unscheduled client visits and sales walkthroughs.

  • Perform weekly and monthly operational audits to maintain consistency throughout the venue.

  • Identify opportunities to improve the overall appearance and functionality of Studio.

Hospitality Operations:

Own the hospitality experience throughout Studio.

Responsibilities include:

  • Open and close the hospitality pantry following Studio operating procedures.

  • Operate, clean, and maintain coffee equipment and beverage stations.

  • Maintain coffee, tea, snacks, beverages, guest amenities, and hospitality supplies.

  • Ensure pantry presentation consistently reflects Studio hospitality standards.

  • Maintain cleanliness and organization of all hospitality equipment, refrigerators, glassware, dishware, countertops, and appliances.

  • Maintain hospitality standards throughout meetings and events.

Operational Inventory Management:

  • Perform routine inventory counts.

  • Receive and inspect deliveries.

  • Rotate inventory using first-in, first-out practices.

  • Maintain organized storage rooms and hospitality supply areas.

  • Submit purchasing recommendations to the Associate General Manager.

  • Maintain inventory tracking documentation and organization systems.

Event Hospitality & Operations:

Own hospitality operations during meetings and events.

Before Events

  • Prepare hospitality stations.

  • Verify event spaces are presentation ready.

  • Assist with room setup and furniture placement.

  • Ensure event spaces match approved layouts.

  • Prepare signage and guest materials.

  • Coordinate hospitality setup with catering partners.

During Events

  • Maintain hospitality standards throughout the event.

  • Manage pantry presentations and beverage stations.

  • Restock refreshments and hospitality supplies.

  • Support catering partners and vendors.

  • Respond to guest requests with professionalism and urgency.

  • Monitor cleanliness and presentation throughout the event.

  • Anticipate guest needs and create exceptional hospitality moments.

After Events

  • Reset all event spaces.

  • Close hospitality operations.

  • Wash and organize dishware.

  • Return inventory to storage.

  • Prepare Studio for future meetings and events.

Facilities & Administration Coordination:

Coordinate operational needs that support Studio.

Responsibilities include:

  • Identify maintenance concerns during daily inspections.

  • Submit and monitor work orders.

  • Follow up with Engineering and Property Management to ensure timely resolution.

  • Coordinate deliveries and vendor access with Ambassador.

  • Track furniture, equipment, and hospitality assets requiring repair or replacement.

  • Assist with updating Standard Operating Procedures (SOPs).

  • Maintain room setup guides and visual setup libraries.

  • Photograph room configurations for training and consistency.

  • Support operational improvement initiatives.

  • Recommend improvements to hospitality, organization, inventory management, and operational efficiency.

About You:

Qualifications

  • High school diploma or equivalent required.

  • 2+ years of experience in hospitality, luxury hotels, event venues, conference centers, food & beverage operations, premium guest services, or venue operations preferred.

  • Strong organizational and time management skills.

  • Excellent communication and interpersonal skills.

  • Exceptional attention to detail.

  • Demonstrated ability to take ownership of recurring operational responsibilities.

  • Comfortable working independently while collaborating with cross-functional teams.

  • Proficient with Microsoft Office; experience with event management or facilities systems is a plus.

  • Due to the nature of the role, onsite presence is required.

  • Ability to lift up to 50 pounds.

  • Ability to stand, walk, bend, and perform physical work throughout the day.

The base compensation range for this role is $50,000 - $53,000. This role is also eligible for a discretionary annual bonus, as well as access to our comprehensive medical, dental, and vision insurance, life and disability insurance, 401(k) plan (with matching contributions), wellness benefits and all other benefits afforded to full-time Tishman Speyer employees.

This base range reflects a number of factors including, but not limited to, relevant experience, skill sets, and/or licensure required of an individual in this particular role. The base range is also specific to members of Tishman Speyer's New York team, as we've considered factors specific to this geography.
