Event Coordinator, Education

 

We’re seeking a talented, motivated, and driven individual to be responsible for and be an integral part of organizing outstanding and unforgettable live and virtual events.
The Education Coordinator is responsible for supporting the logistic of Heartland Dental virtual and in-person education events through pro-active planning while delivering world class customer service and maintaining strong business relationships with internal and external customers.

Heartland Dental is the nation's largest dental support organization, providing non-clinical administrative support services to more than 3,000 supported doctors across 39 states and the District of Columbia in 1,900+ dental offices. Each Heartland Dental supported office is unique to the community and the patients they serve. Supported doctors are the clinical leaders of their practice, retain full clinical autonomy, and establish their own care philosophies. All Heartland Dental supported doctors are united by a common goal: delivering the highest quality dental care and patient experiences.

Below is an overview of the duties and responsibilities you would take on in this role:

  • Collaborate with course developers to ensure alignment in the needs of each program, ensuring we create a world-class educational experience while maintaining budgetary guidelines.
  • Responsible for managing assigned course details, registrations and rosters on our Learning Management System.
  • Learn & utilize our learning management system to provide overall support with course details, registrations & rosters. 
  • Handle, coordinate and oversee all in-person and virtual event operation details, working with various hotels and vendor as needed.
  • Responsible for the coordination of printed participant materials as well as hands on supplies.
  • Book travel for all attendees for selected programs.
  • Arrange the overnight room and catering process with vendors for assigned events.
  • Deliver on-site and virtual support to course presenters and participants.
  • Responsible for accurate and timely credit card allocations for assigned events.
  • Answer all phone and email inquiries directed to the Education Event’s team in a timely manner.
  • Provide world-class customer service to both internal and external customer.

Minimum Requirements:

  • Proficiency with Microsoft Office suite (PowerPoint, Excel, Outlook, Word).
  • Previous event planning or coordination experience.
  • Strong organizational skills, accuracy and attention to detail.
  • Strong verbal and written communication skills.
  • Ability to interact with co-workers in a collegial manner to accomplish common tasks.
  • Must be thorough and detail oriented
  • Ability to travel for 2-3 days at a time as needed, including Saturdays.
  • Able to commute to Effingham, IL for monthly travel.
  • The ability to lift 25 pounds regularly.

Desirable Qualifications:

  • Strong event production understanding and A/V production experience.
  • Healthcare/Corporate event planning experience desired.
