Job description

We are seeking a highly organized and creative Program Manager to lead the planning and execution of events for Meta Superintelligence Labs (MSL). In this role, you will own the end-to-end production of org offsites, launch celebrations, and large scale leadership summits that bring together cross-functional teams to align on strategy, celebrate milestones, and strengthen team culture. You will partner closely with senior leaders, executive assistants, cross-functional partners, and external vendors to deliver memorable, high-impact experiences that reflect MSL's mission and values.
Program Manager, MSL Events Responsibilities:
  • Event Strategy & Planning: Develop and execute a comprehensive events calendar for MSL, including org offsites, leadership summits, launch celebrations, and milestone recognition events.
  • Align event themes and programming with organizational priorities and cultural goals.
  • End-to-End Production: Own all aspects of event production from concept through execution, including venue selection, agenda development, speaker coordination, catering, AV/tech setup, team-building activities, and on-site logistics.
  • Stakeholder Management: Serve as the primary point of contact for key stakeholders on all event-related matters.
  • Provide regular updates on planning progress, surface risks early, and incorporate leadership input into event design.
  • Offsite Event Design: Design engaging multi-day offsite programs that balance strategic planning sessions, team bonding, skill-building workshops, and social activities.
  • Ensure programming is inclusive, accessible, and aligned with team objectives.
  • Launch Celebrations: Conceptualize and produce creative launch celebration events that recognize team achievements, build momentum, and foster a culture of shipping and impact.
  • Vendor & Venue Management: Source, negotiate with, and manage external vendors and venue partners for all event needs, including hotels, event spaces, catering, entertainment, transportation, and AV/production services.
  • Budget Management: Develop and manage event budgets, track spend, negotiate cost-effective solutions, and provide budget reporting to leadership.
  • Ensure all events deliver maximum impact within approved budgets.
  • Cross-Functional Coordination: Partner with Executive Assistants, People Partners, Communications, Workplace Services, Finance, and other internal teams to ensure seamless event execution and alignment with broader organizational initiatives.
  • Documentation & Playbooks: Create and maintain detailed event playbooks, run-of-show documents, vendor lists, and post-event reports to build institutional knowledge and enable repeatable excellence.
  • Post-Event Analysis: Conduct post-event retrospectives, gather attendee feedback, analyze event effectiveness, and provide data-driven recommendations for continuous improvement.

Minimum Qualifications:
  • 5+ years of experience in event planning, program management, or corporate events, with a focus on executive-level or large-scale team events
  • Experience managing end-to-end event production for offsites, summits, or multi-day corporate programs
  • Proven track record of managing multiple concurrent projects with competing deadlines and cross-functional dependencies
  • Experience with budget management, vendor negotiations, and contract management
  • Communication and interpersonal skills, with experience engaging senior leaders and executive stakeholders
  • Experience adapting to changing priorities and thriving in fast-paced, ambiguous environments
  • Flexibility to travel and work evenings/weekends as required by event schedules
  • Bachelor's degree

Preferred Qualifications:
  • Experience working in the technology industry or at a large-scale tech company
  • Experience planning events for distributed/remote teams across multiple time zones and geographies
  • Demonstrated creativity in designing engaging team experiences that go beyond standard conference formats
  • Experience with hybrid event formats (in-person + virtual attendees)
  • Proficiency in event management platforms, project management tools, and collaboration software
  • Demonstrated ability to integrate AI tools to optimize/redesign workflows and drive measurable impact (e.g., efficiency gains, quality improvements)
  • Experience adhering to and implementing responsible, ethical AI practices (e.g., risk assessment, bias mitigation, quality and accuracy reviews)
  • Demonstrated ongoing AI skill development (e.g., prompt/context engineering, agent orchestration) and staying current with emerging AI technologies
