Project Coordinator / Administrative Assistant

Location: Plymouth, MN (Onsite)
Contract Duration: Through December 31, 2026
Schedule: Monday–Friday, 8:00 AM–5:00 PM
Hours: 40 hours/week
Contract Type: Temporary, 5-month assignment
Conversion: This is a temporary position with no opportunity for permanent conversion.


Job Summary:

We are seeking an experienced Project Coordinator / Administrative Assistant to provide onsite support to managers and directors during a temporary 5-month assignment. This position will backfill a full-time employee who will be on leave.

The ideal candidate is highly organized, proactive, and comfortable supporting leaders in a fast-paced environment. This is more than a calendar-management role—we are looking for someone who can identify opportunities for improvement, streamline existing processes, coordinate projects and events, and anticipate administrative needs with minimal supervision.

The successful candidate will demonstrate excellent written and verbal communication skills, strong organizational abilities, and the ability to manage multiple priorities while meeting deadlines.


Key Responsibilities:

  • Manage calendars, meetings, appointments, and travel arrangements for managers and directors.
  • Coordinate onsite and virtual meetings, events, team activities, and departmental functions.
  • Assist with larger employee engagement events, including company picnics, town halls, and team gatherings.
  • Prepare presentations, correspondence, reports, and other business documents.
  • Create and format presentations using Microsoft PowerPoint.
  • Maintain tracking documents, reports, and basic analyses using Microsoft Excel.
  • Process expense reports and assist with budget tracking activities.
  • Support employee onboarding and office setup.
  • Serve as a key point of contact for scheduling and administrative requests.
  • Handle confidential and sensitive information with professionalism and discretion.
  • Provide backup administrative support to higher-level management as needed.
  • Identify opportunities to improve existing administrative processes and workflows.
  • Help coordinate project timelines and ensure deadlines are met.
  • Anticipate scheduling conflicts and administrative needs and proactively address them.
  • Perform other administrative and project coordination duties as assigned.


Required Qualifications:

  • Previous experience as an Administrative Assistant, Executive Assistant, Project Coordinator, Office Coordinator, or similar role.
  • Strong written and verbal communication skills.
  • Excellent organizational and time-management abilities.
  • Proven experience supporting managers, directors, or other organizational leaders.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong customer service and interpersonal skills.
  • Experience coordinating meetings, events, and team activities.
  • Ability to handle confidential information appropriately.
  • Strong problem-solving skills with a proactive approach to administrative needs.
  • Ability to work independently with minimal supervision.
