ABOUT PLACES MANAGEMENT

POSITION OVERVIEW 

The Accounts Payable / Bookkeeper is responsible for the accuracy and timeliness of vendor payments, vendor  relationships, and bank reconciliations across our residential property portfolio. This role processes invoices,  manages vendor accounts, reconciles bank accounts, and maintains accurate bookkeeping records that the  accounting team and ownership groups rely on. 

This role reports directly to Darsey Nicklasson, CEO & Founder, and works closely with property managers, the  centralized accounting team, and outside vendors on a daily basis. Strong communication skills are essential — you  will regularly coordinate with vendors to resolve billing questions and with accountants to ensure invoices,  payments, and reconciliations are accurately recorded. 


KEY RESPONSIBILITIES 

1. Accounts Payable Processing 

● Review, code, and process vendor invoices for multiple residential properties in AppFolio, ensuring accuracy and  proper approval before payment. 

● Prepare and process check runs, ACH payments, and electronic transfers in accordance with payment schedules  and cash flow needs. 

● Process and reconcile employee expense reports in Concur, ensuring proper coding and timely resolution of  discrepancies. 

● Maintain organized, audit-ready AP records and support 1099 reporting requirements. 

2. Vendor Management 

● Serve as a primary point of contact for vendor inquiries, resolving billing discrepancies promptly and  professionally. 

● Onboard new vendors, collecting and maintaining W-9s, insurance certificates, and payment terms. ● Build and maintain strong working relationships with vendors and service providers across the portfolio. ● Monitor vendor compliance with contract terms and company policies. 

3. Bank Reconciliations & Bookkeeping 

● Perform monthly reconciliations of operating and other bank accounts across the property portfolio, identifying  and resolving discrepancies promptly. 

● Post journal entries, maintain the general ledger, and support month-end close processes. Places Management • The Places Way: Accountable. Caring. Thoughtful.

● Maintain accurate, well-organized bookkeeping records in accordance with company policies and accounting  standards. 

● Payroll reconciliation experience is a plus and may be incorporated into this role over time. 

4. Team Collaboration & Communication 

● Work closely with property managers, the accounting team, and outside vendors to ensure accurate coding and  timely payments. 

● Communicate clearly and professionally with vendors and accountants to resolve questions and discrepancies. ● Support internal and external audits by providing documentation and reconciliations as requested. ● Identify opportunities to improve AP workflows and communicate recommendations to the accounting team. 

SUCCESS METRICS 

Invoice Timeliness 

Vendor invoices processed and paid within agreed terms,  no late fees

Reconciliation Accuracy 

Bank accounts reconciled monthly with zero unresolved  variances

Vendor Response Time 

Vendor inquiries acknowledged within 1 business day

Bookkeeping Accuracy 

General ledger entries accurate and audit-ready at  month-end close


QUALIFICATIONS 

● 2+ years of experience in accounts payable, bookkeeping, or general accounting. 

● Experience performing general bank reconciliations and bookkeeping duties. 

● Payroll reconciliation experience is a plus. 

● Experience with AppFolio (or a similar property management platform) and Concur (or similar expense  management software) is a plus, but not required — training will be provided. 

● Excellent communication skills, with the ability to work effectively with vendors and accountants. ● Strong attention to detail, organizational skills, and ability to manage multiple properties and deadlines  simultaneously. 

● Proficient in Microsoft Excel and general computer literacy. 

● Ability to work both independently and collaboratively within a team-oriented accounting department. ● High level of integrity and discretion when handling confidential financial information. ● Must be eligible to work in the United States.
