Title: Administrative Assistant I
Job Location: City of Colorado Springs, Colorado, United States
Duration: 6+ months 

Pay rate: $23.99/hr. on W2


Position Summary:

We are seeking a detail-oriented Administrative Assistant I to provide entry-level clerical, secretarial, recordkeeping, and basic clerical accounting support within an assigned City division or program. This role also serves as a point of contact for the public, providing information on City policies, procedures, and services.

This is an entry-level, training-focused position requiring strong attention to detail, basic administrative skills, and the ability to follow structured procedures under close supervision.

Key Responsibilities

Administrative & Clerical Support

  • Perform general secretarial, clerical, and recordkeeping duties
  • Prepare and review reports, correspondence, memoranda, and documents
  • Maintain calendars for meetings, events, and staff activities
  • Coordinate scheduling across departments, external agencies, and the public

Records, Accounting & Program Support

  • Support basic bookkeeping, records maintenance, and clerical accounting tasks
  • Process journal entries, maintain accounts, and assist with reconciliations
  • Process applications (business licenses, permits, etc.) and collect fees
  • Manage petty cash and ensure proper documentation
  • Assist with automated mail processing and ensure compliance with postal standards

Data Entry & Reporting

  • Enter and maintain alpha/numeric data in computer systems
  • Identify and correct data entry errors and inconsistencies
  • Generate routine and special reports from databases
  • Assist in payroll-related data entry and record maintenance
  • Process daily receipts and remittances and support reconciliation activities

Office Support & Customer Service

  • Respond to public inquiries regarding policies, procedures, and regulations
  • Screen phone calls and visitors and route requests appropriately
  • Monitor office equipment and coordinate maintenance with vendors
  • Provide general administrative support to assigned department
