What's the position?
The VIP Event Specialist reports directly to the VIP Events Manager and plays a key role in the execution of in-person VIP events across markets. These events include marquee sporting events, watch parties, concerts, festivals, and other high-profile hospitality experiences.
This role is responsible for coordinating logistics, managing hospitality assets, supporting guest engagement efforts, and ensuring flawless on-site execution. The VIP Event Specialist works cross-functionally with VIP Operations, VIP Marketing, Omni Team, Partnerships, and VIP Retention and Acquisition teams to align event execution with broader engagement and revenue objectives.
Frequent travel and hands-on event support are required.
Responsibilities
Event Execution & Logistics
  • Support the planning and on-site execution of VIP events including sporting tentpoles, watch parties, and entertainment-driven experiences.
  • Coordinate venues, hotels, transportation, F&B, production elements, and guest logistics.
  • Travel to event locations to provide hands-on operational support and ensure a premium guest experience.
  • Maintain detailed event run-of-show documents, timelines, and execution checklists.

Cross-Functional Collaboration
  • Partner with VIP Retention and Acquisition teams to align event guest lists with strategic engagement goals.
  • Work closely with VIP Operations to ensure proper coding, tracking, and post-event follow-up.
  • Collaborate with VIP Marketing and Omni teams to support branding, promotions, and integrated activations.
  • Coordinate with Partnerships on sponsor integrations and on-site brand elements.

Guest Experience & Asset Management
  • Manage hospitality inventory including tickets, credentials, gifting, and event materials.
  • Assist with invitation tracking, RSVP management, and attendee reconciliation.
  • Support VIP Account Managers and VIP Account Executives with guest communication and event preparation.
  • Greet and engage guests on-site to ensure a seamless, high-touch experience aligned with Hard Rock standards.

Reporting & Performance Support
  • Track event attendance and assist in measuring performance impact
  • Support post-event recaps and insights in partnership with Analytics and VIP leadership.
  • Ensure all documentation and vendor coordination aligns with internal compliance and financial processes.

Compliance & Brand Standards
  • Exhibit conduct in accordance with Gaming Commission regulations and Hard Rock Digital policies.
  • Maintain confidentiality regarding VIP guests and internal initiatives.
  • Always promote positive guest and employee relations.

  • Have 2-5 years of experience in event coordination, casino marketing, sports hospitality, or experiential marketing.
  • Have experience supporting in-person events with high-value guests.
  • Are highly organized and able to manage multiple concurrent projects.
  • Are comfortable traveling and working evenings/weekends during major events.
  • Communicate effectively across departments and with external partners.
  • Have a strong understanding of VIP engagement within sportsbook, casino, or entertainment environments.
