ABOUT US:

Our client is a consultancy that helps companies reach their potential faster with a higher probability of success. We provide a veteran team that works alongside the client to develop and execute business plans, go-to-market and operational strategies.

OBJECTIVE:

Our client is seeking a Retail Sales Operations & Compliance Manager to support the growing national retail business of one of our core client accounts. This role will own the operational execution required to serve large retailers accurately, efficiently, and in compliance with their requirements.

The ideal candidate has strong experience supporting national retail accounts such as Home Depot, Lowe's, Walmart, Kohl's, Best Buy, Target, or similar partners. They will understand how purchase orders, EDI transactions, retailer portals, routing guides, warehouse execution, transportation, invoicing, and deductions connect across the full order lifecycle.

This is a hands-on role for someone who can manage daily execution while also building stronger processes, controls, and accountability. The person in this role will work closely with sales, finance, inventory planning, client leadership, retailers, carriers, and third-party logistics partners.

RESPONSIBILITIES:

National retail account operations

  • Own the operational lifecycle of national-retailer orders from purchase order receipt through compliant delivery, invoicing, and issue resolution.
  • Review purchase orders for pricing, item numbers, quantities, ship windows, locations, fulfillment requirements, and other account-specific details.
  • Manage order changes, cancellations, shortages, backorders, substitutions, and delivery risks.
  • Maintain clear visibility into open orders, backlog, shipping status, exceptions, and retailer commitments.
  • Serve as a primary operational point of contact for retailer account teams and internal sales leadership.
  • Maintain operational reporting for OTIF, ASN accuracy, fill rate, order accuracy, backlog, chargebacks, deductions, and retailer scorecards.
  • Create and maintain SOPs, account playbooks, escalation paths, and process documentation.

Retail compliance and chargeback prevention

  • Own and ensure compliance with retailer routing guides, vendor requirements, compliance calendars, and account-specific operating procedures.
  • Track chargebacks and deductions by retailer, order, amount, reason code, root cause, and status.
  • Coordinate documentation and dispute submissions, including BOLs, proof of delivery, packing records, EDI acknowledgments, appointment details, and related support.
  • Identify recurring compliance failures and lead corrective action to reduce preventable deductions and margin leakage.

EDI, systems, and retailer portals

  • Work in retailer portals and EDI platforms such as SPS Commerce, TrueCommerce, CommerceHub, Cleo, Logicbroker, or comparable systems
  • Manage operational EDI workflows and exceptions across retailer purchase orders, acknowledgments, shipment notices, invoices, inventory feeds, order changes, and remittance information.
  • Support onboarding and testing for new retailers, fulfillment models, 3PL processes, and EDI connections

Logistics and 3PL coordination

  • Monitor shipments through final delivery and escalate delays, shortages, damage, refused deliveries, and receiving discrepancies.
  • Hold 3PL and carrier partners accountable to retailer requirements and agreed service levels.
  • Develop retailer-specific warehouse procedures and audit controls for high-risk or high-volume shipments.

Client Sales Operations & Order Management

  • Collaborate Account leadership to deliver client value and drive client outcomes
  • Serve as a professional client-facing contact for retail sales operations support
  • Manage day-to-day sales operations workflows across assigned client accounts, including purchase order tracking, open order management, inventory levels, shipment status, backorder communication, and retail partner follow-up
  • Coordinate with client sales teams, retail partners, finance, and manufacturing team members to keep orders moving and issues visible
  • Maintain sales operations trackers, including open orders, inventory/PSI trackers, pricing sheets, sample trackers, and account status reports
  • Support coordination needs for retail demand planning, sell-through analysis, replenishment, and CPFR processes with retail partners
  • Support pricing coordination and maintenance, including customer-specific pricing questions, pricing sheets, and coordination with Accounting teams
  • Partner with finance and accounting teams to clarify order, invoice, credit, inventory, and payment-related issues
  • Identify opportunities to improve workflows, documentation, and processes

QUALIFICATIONS:

  • Four-year college degree or equivalent work experience
  • 5-8 years of experience in retail sales operations, customer operations, wholesale operations, retail logistics, order management, or a closely related function.
  • Direct experience supporting one or more major national retailers and working within their vendor requirements, portals, or compliance programs.
  • Excellent communication and stakeholder management skills, with the ability to build trust across clients, vendors, and internal teams
  • Hands-on experience with EDI order management and common retail transaction workflows, including purchase orders, acknowledgments, ASNs, and invoices.
  • Demonstrated experience preventing, investigating, disputing, or reducing retailer chargebacks and deductions.
  • Strong knowledge of routing guides, shipping windows, labeling, packaging, appointments, freight routing, and retailer delivery requirements.
  • Experience working directly with 3PLs, warehouses, and carriers
  • Comfort working across time zones, including participation in evening coordination calls approximately once per week
  • Cross-cultural communication skills, with the ability to navigate language differences, communication styles, and partner expectations with professionalism with global partners
  • Organized and detail-oriented, with the ability to manage multiple clients, accounts, trackers, and deadlines at the same time
  • Strong written and verbal communication skills
  • Proficiency with Excel required
  • Able to work in a fast-paced consulting environment where client needs, systems, and processes may vary by account
