Job description

Job Summary

Swaybox Studios is seeking a highly organized, proactive Unreal Production Coordinator to support the day-to-day operations of our Unreal team. In this production-facing role, you'll partner closely with the Unreal Supervisor, Production Manager, and a talented team of artists to keep work flowing efficiently across the department.

You'll help coordinate schedules, track tasks and assets, organize reviews, communicate feedback, and ensure production information remains accurate and up to date. This position serves as a central communication hub between Unreal artists and cross-functional departments including Sets,,CG Modeling, Animation, CG Lighting Compositing, and Production.

The ideal candidate has previous experience coordinating feature animation, VFX, games, or real-time productions and understands how to keep highly technical creative teams organized and moving forward. Familiarity with Unreal Engine workflows is strongly preferred, while prior experience supporting an Unreal production on a feature film, episodic series, game, or virtual production is a significant advantage.

Key Responsibilities
  • Provide daily production support to the Unreal Supervisor, Production Manager, and Unreal artist team.
  • Maintain accurate tracking of shots, sequences, environments, assets, tasks, and versions using ShotGrid (Flow Production Tracking).
  • Coordinate schedules, priorities, assignments, and artist workloads to help ensure production milestones are met.
  • Organize and facilitate dailies, reviews, and department meetings, capturing notes and ensuring action items are clearly communicated and tracked.
  • Partner with Sets, Animation, CG Modeling, Animation, CG Lighting VFX Compositing, Lighting, Editorial, Camera, and Production  and other departments to coordinate dependencies and maintain clear communication across the production.
  • Support the unique needs of an Unreal Engine pipeline by tracking production progress, identifying workflow bottlenecks, and helping remove obstacles before they impact schedules.
  • Coordinate file deliveries, publishes, and incoming materials while maintaining version control and organized production data.
  • Communicate production updates, schedule changes, and priorities to artists, supervisors, and production leadership in a clear and timely manner.
  • Assist with onboarding new team members, department documentation, calendars, meeting logistics, and other production needs.
  • Help foster a collaborative, positive team environment while providing proactive solutions to production challenges.
Required Qualifications
  • 3+ years of production coordination experience in feature animation, visual effects, games, virtual production, or related entertainment industries.
  • Excel in an environment where priorities shift quickly, demonstrating exceptional organization, flexibility, and the ability to keep production running smoothly amid constant change.
  • Strong experience with ShotGrid (Flow Production Tracking), FTrack, or similar production tracking software.
  • Outstanding written and verbal communication skills with the ability to effectively support both creative and technical teams.
  • Strong problem-solving abilities and the confidence to anticipate production issues before they become roadblocks.
  • High level of attention to detail and commitment to maintaining accurate production data.
  • Proficiency with Google Workspace and/or Microsoft Office.
Preferred Qualifications
  • Experience coordinating Visual Effects productions or working alongside VFX artist teams.
  • Working knowledge of CG production pipelines, including animation, lighting, environments, cameras, rendering, and compositing.
  • Previous experience supporting an Unreal Engine production team on a feature film, episodic series, game, or virtual production.
  • Familiarity with Unreal Engine workflows, terminology, and real-time content creation pipelines.
  • Understanding of the filmmaking process from pre-production through final delivery.
  • Familiarity with hybrid production workflows that combine practical filmmaking techniques with CG set extensions.
  • Hands-on Unreal Engine experience through previous production work, coursework, or personal projects is a plus.
