This individual is responsible for providing administrative and logistical support for the programs to ensure the seamless execution of on- and off-campus opportunities for our students. The University Counseling Coordinator is responsible for directing and implementing program logistics such as bus transportation, event planning, and payments to suppliers. This role involves managing website and stakeholder communications, using tools like Marketing Cloud, Salesforce, and Maialearning to keep students, families, and internal teams informed and connected. It is a high-energy role that requires strong leadership to help drive the program and equip faculty and staff with the tools, training, and guidance needed to deliver life-changing experiences for students.

- Experience in a residential setting strongly preferred;
- 2+ years of experience working with adolescents in an educational, residential or care-taking setting;
- Desire to work with young people to support their well-being, growth and development;

- Excellent organizational, communication, and decision-making skills including attention to detail, the ability to manage multiple tasks under pressure, and in a timely manner;
- Ability to administer policies fairly and consistently;
- Excellent interpersonal skills including a demonstrated ability to work collaboratively and communicate effectively with diverse constituencies including students, faculty, administrators, and parents;
- Significant foreign travel or cross-cultural experiences a plus;
- Ability and desire to work during hours when students are not in class, including early mornings, evenings and weekends;
- Be a motivated and flexible team player that is ready to work towards the good of the community.
Core Responsibilities
Academic Support & Student Engagement
- Serve as a visible, approachable point of contact for students, providing day-to-day support, guidance, and problem-solving.
- Build meaningful relationships with students by engaging in daily interactions, celebrating achievements, and supporting them through challenges.
- Support student attendance and participation in UAC, academic, and extracurricular programs.
- Support with substitute teacher coordination and scheduling
- Assist with front desk operations, ensuring a welcoming and supportive environment for students, families, and visitors.
University & Academic Counseling (UAC)
- Collect, interpret, and maintain student records (i.e. transcripts) to ensure each student successfully meets all school and local graduation requirements.
- Advise and encourage students to make the most of academic and extracurricular opportunities.
- Assist with PSAT, SAT, and AP test administration.
- Support with academic and career planning programming for grades 9-10.
- Maintain a proactive approach in the retention of students by ensuring they feel supported and best advised through collaboration with parents and EF Academy staff.
- Schedule and oversee college representative visits to EF Academy.

- Represent the University & Academic Counseling office at school events (sometimes in the evening and on weekends) and contribute to a positive EF Academy community of faculty, staff, and students.
Student Life & Activity Coordination
- Supervise students outside the academic day, including evenings and weekends, promoting safety, wellbeing, and positive engagement. This may include driving students in school vans.
- Support student wellness initiatives and advisory programming in collaboration with the UAC team and other campus teams.
Community Building & Student Belonging
- Create a warm, inclusive residential environment where all students feel known, valued, and connected.
- Support student transitions, including arrivals, departures, and key milestone moments.
- Contribute to a strong sense of community through events, traditions, and shared experiences.
- Work closely with colleagues to support student retention by ensuring a consistently positive student experience.
- Work closely with Residential Life, Academics, Athletics, and other campus teams to deliver a cohesive student experience.

- Capture and share student experiences through social media and digital platforms, highlighting student life and achievements.
- Maintain and update website content to reflect current programs, events, and student opportunities.
- Amplify student voice by showcasing diverse perspectives and experiences within the school community.
- Communicate effectively with students, families, and internal teams to ensure clarity and engagement.
- Support with campus communications to different stakeholders using Marketing Cloud and Salesforce.
- Perform other duties as assigned in support of student life and the overall student experience.
Working Hours:
Full-time residential or non-residential position
This is a non-exempt, salaried 12-month position. The average working week will be 40 hours per week Monday through Friday during periods when the campus is open, with opportunities for additional hours to cover events and busy periods. As we are a boarding school, weekend hours will be required as needed, depending on the scheduled activities. The annualized salary range is $47,000-$50,000 (this is paid across 12 months). But itโs what we do together - building greater understanding, breaking down barriers, and creating a better world - that makes all the difference.
Founded in 1965 in Sweden, EF (Education First) is a global association of education companies that share a common mission of opening the world through education. EF has been recognized on Forbes 2025 and 2024 Worldโs Best Employers and 2024 Top Companies for Women lists, Fast Companyโs 2025 Next Big Things In Tech, and was a 2024 App Store Award winner in Cultural Impact.
