Job Description

The District Attorney's Office is seeking a professional, organized, and detail-oriented Administrative Assistant to provide administrative and clerical support to prosecutors, investigators, and office staff. The successful candidate will play a critical role in ensuring the efficient operation of the office by maintaining records, assisting with case management, handling confidential information, and serving as a point of contact for the public and criminal justice partners.

Essential Duties and Responsibilities

  • Provide administrative support to the District Attorney, Assistant District Attorneys, detectives, and support staff.

  • Prepare, proofread, and distribute correspondence, reports, legal documents, and other materials.

  • Maintain case files, records, and databases in accordance with office policies and applicable laws.

  • Schedule appointments, meetings, court appearances, and other events.

  • Answer and direct telephone calls, respond to inquiries, and greet visitors professionally.

  • Receive, process, and distribute incoming mail and electronic communications.

  • Coordinate with courts, law enforcement agencies, victim service providers, attorneys, and other stakeholders.

  • Assist with document retention, scanning, filing, and records management.

  • Enter and update information in case management and records systems.

  • Maintain confidentiality of sensitive criminal justice information.

  • Assist with purchasing, inventory, and office supply management.

  • Perform other administrative duties as assigned.

Required Qualifications

  • High school diploma or GED

  • Minimum of two (2) years of administrative, clerical, or office support experience.

  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.

  • Strong organizational skills and attention to detail.

  • Excellent written and verbal communication skills.

  • Ability to manage multiple tasks and prioritize work effectively.

  • Ability to handle confidential and sensitive information with discretion.

  • Ability to work independently and as part of a team.

Preferred Qualifications

  • Experience in a legal, law enforcement, court, government, or criminal justice environment.

  • Familiarity with case management systems and records management practices.

  • Knowledge of Pennsylvania court procedures and criminal justice processes.

  • Experience working with confidential records and public records requests.

Knowledge, Skills, and Abilities

  • Strong customer service and interpersonal skills.

  • Ability to maintain accurate records and files.

  • Ability to learn office-specific software and procedures.

  • Strong proofreading and data-entry skills.
