Job description

This position coordinates the day-to-day operation of Trivium Life Services' Compliance Program while supporting enterprise reporting, analytics, records management, and policy administration. The Compliance & Analytics Coordinator serves as the operational resource for governance activities and works closely with the Vice President of Information Technology, who serves as the organization's Compliance Officer and Privacy Officer.
The Coordinator is responsible for administering compliance workflows, maintaining documentation, coordinating audits and risk assessments, managing records retention, maintaining the organization's policy library, and supporting executive reporting and business intelligence initiatives. Matters requiring regulatory interpretation, significant investigations, disciplinary recommendations, privacy determinations, or executive decision-making are escalated to the Compliance Officer. Reports directly to the Vice President of Information Technology, who serves as Trivium's Compliance Officer and Privacy Officer.
Essential Duties
Compliance Program Coordination (35%)
  • Coordinate the daily administration of the Compliance Program and maintain all compliance documentation.
  • Coordinate the annual review and update of the organization's Compliance Work Plan.
  • Maintain documentation supporting regulatory surveys, accreditation reviews, and external audits.
  • Track compliance concerns, investigations, corrective actions, and follow-up activities.
  • Coordinate anonymous reporting mechanisms and maintain issue logs.
  • Prepare executive dashboards and compliance summaries.
  • Assist with internal investigations under the direction of the Compliance Officer.
  • Support HIPAA, regulatory, payer, licensing, and accreditation activities.

Reporting & Business Analytics (20%)
  • Coordinate enterprise dashboards, KPIs, and recurring operational metrics.
  • Prepare executive leadership and Board reporting packages.
  • Develop recurring reports using Microsoft 365, Power BI, Oracle Analytics, NetSuite, myEvolv, and other systems.
  • Partner with operational leaders to identify meaningful performance metrics and reporting opportunities that support strategic decision making.
  • Validate data quality and identify reporting trends and opportunities.

Records & Information Governance (20%)
  • Coordinate the Records Management and Data Retention Program.
  • Coordinate enterprise information governance practices to ensure records are maintained, retained, and disposed of in accordance with organizational policy and regulatory requirements.
  • Maintain retention schedules and records disposition documentation.
  • Coordinate legal hold documentation when directed.
  • Promote records management best practices across departments.

Policy Administration (15%)
  • Maintain the enterprise policy library within SharePoint.
  • Coordinate policy reviews, approvals, version control, publication, and archival.
  • Ensure policies remain organized, current, and easily accessible.
  • Coordinate policy acknowledgements and maintain documentation of policy distribution when required.

Education, Continuous Improvement & Other Duties (10%)
  • Coordinate the organization's annual compliance education and awareness program under the direction of the Compliance Officer.
  • Assist in the development, scheduling, communication, and documentation of compliance training activities.
  • Maintain records of required compliance training and monitor completion rates.
  • Coordinate policy acknowledgements and maintain documentation supporting employee compliance with required training and organizational policies.
  • Recommend opportunities to improve employee awareness of compliance, privacy, ethics, and information governance responsibilities.
  • Support organizational quality improvement initiatives.
  • Perform additional duties assigned by the Vice President of Information Technology or Chief Executive Officer.

Physical Demands
While performing the responsibilities of the job, the employee is required to talk and hear. The employee is often required to sit and use their hands and fingers, to handle or feel and to manipulate keys on a keyboard. The employee is required to stand, walk, reach with arms and hands; and occasionally required to climb or balance, and to stoop, kneel, crouch or crawl. Vision abilities required by this job include close vision.
The employee must be able to travel between sites periodically and occasionally attend seminars/trainings or meetings, all of which may require overnight stay.

Working Conditions
Working conditions are normal for an office environment. The noise level in the work environment is usually quiet to moderate. Work requires occasional weekend and/or evening work and the ability to remain on-call and available to provide management support in event of emergencies.
Requirements
Associate's or Bachelor's degree in Business Administration, Healthcare Administration, Information Systems, Compliance, Public Administration, or related field preferred.
  • Equivalent combination of education and experience may be considered.
  • Two to five years of experience in healthcare, compliance, quality improvement, business operations, project coordination, records management, analytics, or related field preferred.
  • Experience with Microsoft 365 required.
  • Experience with SharePoint, Power BI, Oracle Analytics, NetSuite, myEvolv, HIPAA, CARF, or healthcare compliance preferred.
