Job description

The Event Sales Coordinator is responsible for managing and coordinating all aspects of event sales and planning. This role requires a detail-oriented individual with excellent communication and organizational skills to ensure successful event execution and client satisfaction. The position involves working closely with the Event Sales Manager, guests, and internal teams to deliver memorable events. The position is part-time, with a focus on both marketing and administrative tasks. This leadership position is expected to demonstrate and abide by Parker Hospitality's company core values.

SCHEDULE

  • Approximately 30+ hours/week
  • Schedule coordinated by the General Manager (GM) in collaboration with the Event Sales Manager (ESM)

KEY DUTIES/RESPONSIBILITIES:

Event Coordination:

  • In-depth knowledge of Tripleseat for managing event details.
  • Lead Banquet Event Order (BEO) pre-shifts when ESM is not present.
  • Create menus for events, ensuring alignment with client preferences and dietary restrictions.
  • Build BEOs to outline all event details and requirements.
  • Maintain and manage the event supply inventory to ensure all necessary items are available.
  • Assist in the creation of operational tools such as menus and allergy guides.

Client and Vendor Management:

  • Lead response to client inquiries and follow up on leads.
  • Be CC'ed on all event communications to ensure seamless coordination.
  • Collaborate with vendors to secure necessary services for events.

Administrative Tasks:

  • Attend weekly one-on-one meetings with ESM and GM to discuss event progress and strategies.
  • Maintain accurate records of all event details and communications.
  • Participate in the development and implementation of marketing strategies in coordination with the Marketing department, GM, and ESM.


Marketing Responsibilities:

  • Conduct one day a week of outreach for 3 hours, following a marketing strategy created in collaboration with the Marketing department, GM, and ESM.
  • Recap marketing efforts during one-on-one meetings, reviewing where outreach was conducted and the leads and reservations generated.
  • Calibrate marketing strategy for the upcoming period based on past performance and new goals.

QUALIFICATIONS/EXPERIENCE:

  • High school diploma or equivalent; associate or bachelor's degree in hospitality, event management, or related field preferred.
  • Previous experience in event sales, coordination, or a similar role.
  • Proficiency in Tripleseat, Microsoft Office Suite, Google Sheets and Open Table.
  • Strong communication, negotiation, and interpersonal skills.
  • Ability to multitask and manage multiple events simultaneously.
  • Flexibility to work evenings, weekends, and holidays as required.

This is an hourly position with a variable schedule based on event demands. Physical requirements include standing for extended periods, lifting and moving event materials, and navigating event spaces.

GENERAL RULES:

  • Ability to frequently lift at least 20 lbs
  • Capable of standing for 8 hours
  • Occasional travel may be required
  • Strong teamwork and interpersonal skills
  • Adherence to uniform and appearance guidelines that align with the restaurant's image during shift.
  • Prohibition of smoking during the shift
  • Punctuality and readiness for work upon arrival
  • Compliance with all rules, policies, procedures, and conditions of employment outlined in the Employee Handbook
  • Strict prohibition against working under the influence of alcohol or illegal drugs
  • Zero tolerance for any form of violence, discrimination, or harassment
  • Successful completion of a drug and alcohol test within 90 days of hire, where applicable
