Job description

Join the LifeTree Team

LifeTree Inc. is a fresh and exciting place to work! We are a progressive company committed to human development and promoting the independence of each person we serve. We support individuals in making their own choices and living their preferred lifestyles while offering guidance and support to their families and loved ones.

We are passionate about improving the quality of life of those we serve while providing respect, dignity, and excellence in every interaction.

Position Summary

LifeTree is seeking a highly organized, detail-driven Courses Coordinator and Expirations Specialist to manage the training, credentials, and ongoing requirements our Providers need to serve Members and Families throughout Arizona.

From coordinating required courses to tracking credential renewals and validating Provider qualifications, this role owns several important processes throughout the Provider lifecycle.

You'll work with Providers, instructors, Team Leaders, and Provider Human Resources to keep requirements moving, records accurate, and potential issues from becoming interruptions in service.

If you enjoy keeping things organized, staying ahead of deadlines, and making sure nothing falls through the cracks, this may be the role for you.

What You Will Own

Provider Courses & Training

You'll coordinate the training and certification activities Providers need to become – and remain – qualified to provide services.

  • Maintain schedules for required instructor-led and online training courses.
  • Coordinate with instructors on scheduling, materials, and changes to course requirements.
  • Communicate course information and requirements to Providers.
  • Track registration, attendance, testing, and successful completion.
  • Grade applicable assessments and accurately record outcomes.
  • Maintain accurate training records and supporting documentation.
  • Follow up, working in tandem with internal Team Leaders, on missed classes, incomplete requirements, and unsuccessful assessments

Credentials & Renewal

You'll manage upcoming renewal dates across our Provider population and work proactively with Providers and internal teams to prevent Providers from experiencing an interruption in their ability to provide services.

  • Monitor upcoming credential and certification expirations - well in advance of their due dates.
  • Communicate renewal requirements and deadlines to Providers and internal teams.
  • Escalate at-risk expirations to Team Leaders and other internal stakeholders.
  • Review submitted documentation for accuracy and completeness.
  • Work closely with Provider Human Resources when credentials are not renewed timely or a Provider's status changes.
  • Maintain accurate Provider records, dates, documentation, and outcomes.

Provider Qualification Validation

You'll also complete required checks to verify that Providers continue to meet applicable state and federal requirements.

  • Validate Provider credentials and status through applicable regulatory sources, including OLCR, SAM/OIG, and other required databases.
  • Compare Provider records against external sources for accuracy.
  • Identify discrepancies, expired credentials, exclusions, or other findings requiring attention.
  • Document validation results and maintain supporting records.
  • Take appropriate next steps based on established procedures and validation outcomes.
  • Partner with Provider Human Resources and leadership when additional review or action is necessary.
  • Complete recurring validations accurately and on schedule.

What Success Looks Like

Success in this position requires more than simply tracking dates and checking boxes. The Coordinator/Specialist must actively manage a large volume of time-sensitive requirements, identify issues before they result in service disruption, communicate clearly and persistently with Providers and internal teams, and take appropriate action when requirements are not met.

Most importantly, Providers remain ready to serve the Members and Families who depend on them.

The Ideal Candidate

This position is ideal for someone who genuinely enjoys keeping a lot of moving pieces organized.

You don't need someone standing over you reminding you what needs to happen next. You understand your responsibilities, stay ahead of your deadlines, and follow things through until they're finished.

  • Has exceptional attention to detail.
  • Enjoys organization, structure, and process.
  • Can manage a high volume of dates, requirements, and follow-ups.
  • Naturally notices when something is missing or doesn't look right.
  • Takes pride in maintaining accurate records.
  • Is comfortable reaching out to Providers, partnering with internal teams, and following up when action is needed.
  • Communicates clearly and professionally.
  • Can distinguish between routine issues and those requiring immediate attention.
  • Takes ownership rather than waiting for someone else to identify the next step.
  • Can balance recurring responsibilities with unexpected priorities.

Required Qualifications

  • 2+ years of professional experience in an administrative, operations, credentialing, training coordination, human resources, healthcare services, or similar process-driven role.
  • Previous experience in a position requiring the management of deadlines, renewals, recurring requirements, documentation, or other time-sensitive activities across a large group of individuals or records.
  • Demonstrated experience owning a process from beginning through resolution, including follow-up with individuals when information, documentation, or action remains outstanding.
  • Experience maintaining and reviewing high-volume records or data where accuracy and attention to detail are critical.
  • Experience communicating professionally with customers, employees, contractors, providers, or other external individuals regarding requirements, deadlines, missing information, or required next steps
  • Strong proficiency with Microsoft Office, including Excel and Outlook, and demonstrated ability to learn and work efficiently across multiple software systems, databases, and online portals.
  • Strong written and verbal communication skills, including the ability to clearly explain requirements and next steps.
  • Demonstrated ability to independently organize and prioritize a high volume of responsibilities with competing deadlines.
  • High school diploma or equivalent required; associate or bachelor's degree preferred, but not required.

Preferred Qualifications

  • Experience in healthcare, human services, credentialing, training administration, provider relations, human resources, or another process-driven environment is preferred.
  • Bilingual (English/Spanish) preferred.

This Role Is NOT A Good Fit For Someone Who

  • Rushes through tasks and sacrifices accuracy for speed.
  • Frequently misses details or overlooks documentation requirements.
  • Prefers improvisation over following established procedures.
  • Dislikes repetitive, process-driven work.
  • Assumes missing information rather than verifying it.
  • Struggles to stay organized across multiple systems and workflows.

Why Join LifeTree?

  • Competitive pay: $24–$25 per hour, depending on experience.
  • Supportive leadership team that values communication and growth.
  • Paid training and ongoing development opportunities.
  • Mission-driven work that positively impacts individuals with developmental disabilities and their families.
  • Opportunity to play a critical role in both provider onboarding and daily operational support.

If you're detail-oriented, process-focused, tech-savvy, and passionate about helping others succeed, we'd love to hear from you. Apply today and become part of a team dedicated to making a difference every day.
