We are actively searching for a Sales and Events Coordinator Job Summary

The Sales & Events Coordinator executes the sales strategy of the hotel, as defined by the Director of Sales & Marketing, to ensure that occupancy, average daily rate, extended stay, and market share goals are achieved. This includes assisting with client requests in a timely manner and efficiently handling all inquiries. The Coordinator will be required to perform general administrative duties, including but not limited to contracts, meeting room logistics, group rooming lists, and compiling/updating reports as needed.

Key Responsibilities
  • Contract Management: Merge contracts (both catering and group); process Group and Event Definite Booking Turnover; handle amenity requests; and assist with group requests (room changes, guestrooms, counts, etc.).
  • Inquiry Handling: Answer telephones and take inquiry calls via phone/email; serve as the primary Point of Contact for Sales & Catering inquiries; and qualify all leads and walk-ins.
  • Group Coordination: Ensure correct coding of group blocks and assist in booking and servicing small meetings and repeat meetings.
  • Documentation: Administer all Delphi Catering Documents, including creating contracts, generating Banquet Event Orders (BEOs), and revising BEOs/making changes in the system.
  • Financial Duties: Ensure deposits are paid and send receipts to clients; process group commissions; and manage all purchase orders for the department.
  • Reporting: Email weekly pickup reports to all groups (Sales & Events); enter final room pickup numbers at the end of events; and perform data entry for all Sales & Events reports.
  • Operations Support: Coordinate the BEO process to ensure completeness and accuracy; support other F&B departments (Banquets, Kitchen, Outlets) as needed; and load all turn-downs.
  • Office Administration: Manage filing and merge files; maintain Delphi cleanup and data maintenance; manage office supplies (sales kits, toner, paper, folders, etc.); and perform other administrative duties as requested by management.

  • Technical Proficiency: Proficient knowledge of computer applications, including Outlook, Word, Excel, and PowerPoint.
