Job description

One of our government clients is seeking a Legal Associate to support the Office of General Counsel (OGC) within TennCare. The selected candidate will provide legal administrative support to help manage increased communications from advocates and legal organizations, improving operational efficiency and allowing attorneys to focus on substantive legal work.

Key Responsibilities

  • Support TennCare's Office of General Counsel (OGC) by managing a significant increase in communications from advocates and legal organizations, helping reduce administrative workload and enabling attorneys to focus on higher-value legal work.
  • Manage OGC’s shared inbox by continuously monitoring incoming messages, promptly routing inquiries to the appropriate business groups, applying internal color-coded tags for workflow tracking and reporting, maintaining an organized inbox to reduce the risk of missed requests, and appropriately archiving and reopening email threads as matters evolve.
  • Provide reporting and meeting support by creating weekly agendas from the central tracking spreadsheet, preparing twice-weekly update reports for General Counsel meetings, conducting monthly reviews of archived emails to ensure accuracy and proper categorization, and maintaining and updating the tracker for matters initiated through the shared inbox.
  • As workload permits, provide additional legal administrative support including managing other shared inboxes, maintaining calendars, answering telephone calls, assisting with document review, and taking meeting notes to strengthen operational reliability and support legal staff.

Minimum Requirements

  • Experience providing administrative support in a legal, government, or professional office environment.
  • Strong organizational skills with the ability to manage multiple priorities and maintain accurate records.
  • Experience managing shared email inboxes and tracking communications.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office applications, including Outlook, Excel, Word, and Teams.
  • Ability to prepare reports, maintain tracking spreadsheets, and support meeting coordination.
  • Ability to work independently while collaborating effectively with attorneys, business units, and stakeholders.
  • Strong attention to detail and ability to maintain confidentiality.
