We are looking for a highly organized, professional, and reliable Administrative Assistant to become an integral part of our team in HireFrontier. Key Responsibilities
Provide comprehensive administrative support to executives, managers, and office personnel
Answer, screen, and route incoming telephone calls in a courteous and professional manner
Greet clients, visitors, and guests while creating a welcoming and positive first impression
Coordinate meetings, manage executive calendars, and reserve conference rooms as needed
Prepare, edit, and format business correspondence, reports, spreadsheets, presentations, and other documents
Maintain accurate electronic and physical filing systems to ensure efficient record management
Receive, sort, distribute, and process incoming and outgoing mail, packages, and deliveries
Monitor office supply inventory, place orders, and communicate with vendors to maintain office operations
Assist with new hire onboarding documentation and provide general administrative support for Human Resources
Provide administrative assistance to recruiting, accounting, operations, and other departments as needed
Handle confidential employee and company information with professionalism and discretion
Perform a variety of general office duties while assisting with special projects and additional assignments as requested
Help maintain an organized, efficient, and productive workplace environment
Qualifications
Minimum of 1 years of experience in an administrative assistant, office support, receptionist, executive assistant, or similar administrative role
Excellent verbal and written communication skills with strong interpersonal abilities
Outstanding organizational, time management, and multitasking skills
Strong attention to detail with a commitment to producing accurate, high-quality work
Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
Dependable, punctual, and committed to maintaining a high level of professionalism
Ability to work independently while contributing effectively within a collaborative team environment
Positive attitude, strong work ethic, and a customer-focused approach to supporting internal and external stakeholders
Ability to prioritize multiple responsibilities and adapt to changing business needs in a fast-paced office setting
