We are looking for a highly organized, professional, and reliable Administrative Assistant to become an integral part of our team in HireFrontier. This is a temporary-to-permanent opportunity that offers the potential for long-term employment based on individual performance, attendance, reliability, and overall business requirements.

Key Responsibilities
  • Provide comprehensive administrative support to executives, managers, and office personnel

  • Answer, screen, and route incoming telephone calls in a courteous and professional manner

  • Greet clients, visitors, and guests while creating a welcoming and positive first impression

  • Coordinate meetings, manage executive calendars, and reserve conference rooms as needed

  • Prepare, edit, and format business correspondence, reports, spreadsheets, presentations, and other documents

  • Maintain accurate electronic and physical filing systems to ensure efficient record management

  • Receive, sort, distribute, and process incoming and outgoing mail, packages, and deliveries

  • Monitor office supply inventory, place orders, and communicate with vendors to maintain office operations

  • Assist with new hire onboarding documentation and provide general administrative support for Human Resources

  • Provide administrative assistance to recruiting, accounting, operations, and other departments as needed

  • Handle confidential employee and company information with professionalism and discretion

  • Perform a variety of general office duties while assisting with special projects and additional assignments as requested

  • Help maintain an organized, efficient, and productive workplace environment

Qualifications
  • Minimum of 1 years of experience in an administrative assistant, office support, receptionist, executive assistant, or similar administrative role

  • Excellent verbal and written communication skills with strong interpersonal abilities

  • Outstanding organizational, time management, and multitasking skills

  • Strong attention to detail with a commitment to producing accurate, high-quality work

  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint

  • Dependable, punctual, and committed to maintaining a high level of professionalism

  • Ability to work independently while contributing effectively within a collaborative team environment
