Job description

Position Summary

At Stony Brook Medicine, a Business Support Assistant is a valuable member of our team, who provides administrative and executive support and has the ability to interface with all levels of management throughout the hospital.

Qualified candidates will demonstrate superior communication and organization skills while adhering to our high standard of excellence.

Duties of this Business Support Assistant may include the following but are not limited to:

  • Maintains a courteous and helpful approach when dealing with visitors and staff
  • Demonstrates a high degree of understanding of others even during the most stressful situations; resolution of conflicts and problem solving with empathy
  • Accepts constructive criticism in a positive manner working towards solutions rather than focus on the problem
  • Processes incoming and outgoing communications in an effective and timely manner. Develops and maintains office and filing systems so that necessary information is readily accessible
  • Keeps information necessary for budget preparation, programmatic reporting and financial analysis accurate and readily available. Processes purchase requests, requests for travel reimbursement, journal and budget transfers, work requests, and the like in a timely and efficient manner
  • Records/types meeting minutes and distributes as requested by the Associate Director and Nurse Manager(s)
  • Coordinates administrative support functions required for the 24-hour daily operation of assigned units
  • Organizes systems to establish defined standards for non-nursing functions in patient care areas. Monitors adherence to standards and quality management
  • Provides for safe and therapeutic patient care areas. Conducts environmental rounds, assesses environmental problems, resolves and follows up
  • Assures compliance with hospital environmental policies and standards as well as regulatory and accrediting agency standards for physical environment
  • Serves as Volunteer Program Coordinator for areas assigned
  • Ensures timely completion of schedules, timesheets, audits and data entry
  • All other duties as assigned

This is a temporary leave replacement opportunity that may end at any time. 

Qualifications

Required Qualifications: Associate's degree. Please Note: Verification of degree (e.g., diploma or official transcript) is required for this role. Upload of documentation must be included with your application for consideration. At least 2 years of relevant experience in an administrative capacity. Computer skills with proficiency in Microsoft Office Suite. Ability to work independently, with excellent time management and communication skills. Experience and skill in focusing on details, accuracy, multi-tasking and follow-through. Must be able to effectively interact and communicate with all Department Heads/Supervisors on a house-wide basis.

Preferred Qualifications: Bachelor's degree. Computer skills to include Peoplesoft, Kronos, Cerner. Past experience in a hospital or healthcare setting. Knowledge and experience in the application of performance improvement methodologies.

  • Successfully complete pre-employment physical examination and obtain medical clearance from Stony Brook Medicine's Employee Health Services
  • Complete electronic reference check with a minimum of three (3) professional references.
  • Successfully complete a 4 panel drug screen
  • Meet Regulatory Requirements for pre employment screenings.
  • Provide a copy of any required New York State license(s)/certificate(s).

Anticipated Pay Range:

The salary range (or hiring range) for this position is $47,754 - $63,672 / year.

The above salary range represents SBUH's good faith and reasonable estimate of the range of possible compensation at the time of posting.  The specific salary offer will be based on the candidate's validated years of comparable experience.  Any efforts to inflate or misrepresent experience are grounds for disqualification from the application process or termination of employment if hired.

Some positions offer annual supplemental pay such as:

  • Location pay for UUP, CSEA & PEF full-time positions ($4,000)

  • Evening shift differential ($6,000)

  • Inconvenience pay/supplemental shift differential. ($575)
