POSITION SUMMARY
As a Campus Administrator at Menlo Church, you are the operational backbone of our campus. This pivotal role balances high-level task execution with relationship-driven leadership. You will manage daily office functions including room scheduling, supply purchasing, facility logistics, and administrative support for our campus team and serve as the primary point of contact for individuals seeking connection with the church.
Additionally, you will help grow our ministry by systematically guiding new volunteers through onboarding workflows. We are looking for an organized, relational leader who will ensure our campus runs seamlessly, stays fully staffed, and feels deeply welcoming in person, online, and over the phone.
ESSENTIAL FUNCTIONS
  • Volunteer Onboarding & Leadership: Guide prospective volunteers through database workflows (Planning Center), coordinate background checks, and manage safety training. Recruit and equip volunteers for campus administrative and operations roles.
  • Database & Workflow Management: Oversee campus data systems and Planning Center workflows. Distribute tasks to relevant staff efficiently, maintain data accuracy, and serve as the primary PCO support resource for campus staff.
  • Facilities & Event Logistics: Manage all room reservations, layouts, and facility logistics including room relocation or event cancellations. Coordinate directly with onsite groups regarding event needs and setups, and collaborate with the janitorial team to ensure clean, well-maintained environments.
  • Central Team Liaison: Act as the administrative link between the Menlo Park Campus and Central Teams (Operations & Ministries). Collaborate with other Campus Administrators to share best practices and support joint projects.
  • Campus Pastor Support: Assist the Campus Pastor with calendar management, scheduling, newsletter formatting, invoice processing, and communication routing.
  • Culture & Values: Foster positive working relationships by actively embodying staff values: teamwork, humility, hope, and resilience.
  • Construction Communication (Temporary): Proactively update staff on construction zones, utility shut-offs, parking changes, and potential disruptions.
  • General Administration: Manage general campus operations, including phone inquiries, correspondence, supply ordering, filing, and master calendar management.
  • Other Duties: Execute additional tasks as assigned

QUALIFICATIONS
Education/Experience
  • High school diploma or equivalent work experience in administrative field

Preferred Experience
  • Demonstrated administrative experience, preferably in a church or nonprofit organization.
  • Strong organizational skills with the ability to manage multiple projects, prioritize effectively, and meet deadlines.
  • Excellent written and verbal communication skills with attention to clarity, tone, and detail.
  • Highly proficient in Google Workspace; experience with Asana/MailChimp/PCO preferred
  • Experience coordinating events, schedules, or logistics.
  • Ability to handle confidential information with discretion and professionalism.
  • Strong interpersonal skills with the ability to build positive relationships across teams and with congregants.
  • Self-motivated, dependable, and proactive in identifying needs and solving problems.
  • Demonstrated alignment with the mission, values, and beliefs of Menlo Church.
  • Committed to modeling humility, hope, resilience, and teamwork in a collaborative ministry environment.

Physical Demands
  • Physical ability to sit or stand for extended periods; occasionally lift up to 20 lbs; and perform routine movements such as walking, bending, twisting, kneeling, and using stairs. Requires fine motor skills and visual coordination to operate standard office equipment and computer systems.

Work Conditions
  • This role operates onsite at a Menlo Church Campus in a professional office or church setting.
  • Days of work are Sunday-Thursday with an occasional Friday, Saturday, or evening as needed.
  • This role is Full Time Exempt (40hrs per week min)
