Job description

Title: Executive Secretary/Administrative Assistant Location: NY On-site/Remote/Hybrid: Onsite Duration: 17+ Months Number of openings - 3 Interview Process: 1-2 Round Purpose To enhance the capacity of the client department in supporting newly arrived immigrant families, this proposal recommends hiring bilingual temporary staff who will assist in gathering critical information and facilitating connections to immigration and legal support services. Background This department serves newcomer families, immigrant families and families with mixed immigration status by coordinating instructional, trauma, transportation, and enrollment support. The initiative collaborates with internal departments and external partners such as the Mayor's Office of Immigrant Affairs (MOIA), Department of Homeless Services and community-based organizations to provide holistic and efficient support. Objectives
  • Recruit and employ bilingual temporary staff to assist in:
    • Conducting outreach to families in shelters and temporary housing.
    • Gathering critical information to connect families to legal supports
    • Connecting families to legal counsel and immigration services through MOIA Rapid Response Legal Collaborative and City Council School Based Immigrant Rapid Response
    • Supporting In Person and Virtual "Know Your Rights" and "Guardianship Trainings" are offered.
Staffing Plan
  • Roles Needed:
    • 3 bilingual temporary staff fluent in Spanish, French, Mandarin, and other high-need languages.
    • Staff will work in Manhattan but support the entire city.
  • Responsibilities:
    • Attend daily coordination meetings with Project Open Arms senior leadership.
    • Communicate with families in their native language to collect additional information needed to connect families to support.
    • Maintain logs of family interactions and referrals to legal services.

  • Improved access to legal and immigration support for families.
  • Enhanced cultural responsiveness and trust between families and schools.
