What is a temporary archivist?

Temporary Archivists are professionals hired on a short-term basis to organize, preserve, and manage collections of historical documents, records, or other archival materials. They may work for museums, libraries, universities, or government agencies, often assisting with specific projects such as cataloging new acquisitions, digitizing records, or preparing materials for exhibitions. Their roles can vary, but typically include tasks like appraising, arranging, and describing archival content while ensuring proper storage and accessibility. Temporary Archivists are valuable in handling workload fluctuations or special projects without the commitment of a permanent hire.

What are the key skills and qualifications needed to thrive as a temporary archivist?

To thrive as a Temporary Archivist, you need a solid understanding of archival principles, records management, and typically a degree in library science, archival studies, or a related field. Familiarity with collection management systems, digitization tools, and metadata standards is often required. Attention to detail, organizational skills, and effective communication are vital soft skills for this role. These competencies ensure that archival materials are properly preserved, easily accessible, and efficiently managed during temporary assignments.

What are the primary challenges faced by temporary archivists when integrating into established archival teams?

Temporary archivists often encounter the challenge of quickly adapting to existing workflows, documentation standards, and digital systems used by permanent staff. Since projects may be time-limited, there is a need to rapidly learn institutional protocols and build rapport with team members while maintaining high standards of accuracy and confidentiality. Effective communication and adaptability are essential, as temporary archivists frequently collaborate with other archivists, librarians, and sometimes researchers to ensure seamless project completion.

Job description

At Warner Music Group, we're a global collective of music makers and music lovers, tech innovators and inspired entrepreneurs, game-changing creatives and passionate team members. Here, we turn dreams into stardom and audiences into fans. We are guided by three core values that underpin everything we do across all our diverse businesses:

  • Curiosity: We do our best work when we're immersing ourselves in culture and breaking through barriers. Curiosity is the driving force behind creativity and ingenuity. It fuels innovation, and innovation is the key to our future.

  • Collaboration: Making music and bringing it to the world is all about the power of originality amplified by teamwork. A great idea, like a great song, travels globally. We ignite passions and build connections across our diverse community of artists, songwriters, partners, and fans.

  • Commitment: We pursue excellence for our team and our talent. Everything in music starts with a leap into the unknown, and we're committed to keeping the faith, acting with integrity, and delivering on our promises.

WMG is home to a wide range of artists, musicians, and songwriters that fuel our success. That is why we are committed to creating a work environment that actively values, appreciates, and respects everyone. We encourage applications from people with a wide variety of backgrounds and experiences.

Consider a career at WMG and get the best of both worlds - an innovative global music company that retains the creative spirit of a nimble independent.

A little bit about our team:

The department consists of five specific areas of responsibility, all ultimately focused on the production and distribution of WMG products. Research and Development helps define new product specifications and processes for production; Product Data Management is responsible for defining product data standards and keying data into systems; Studio and Archive Operations delivers production masters for physical and digital manufacturing and archives the company master assets; Digital Production provides day-to-day production support for WMG labels' digital releases and oversees production of digital assets and Digital and Mobile Operations manages the distribution of digital products to retail partners globally.

Your role:

In this role, you will work with one of the largest tape libraries in the world ensuring the protection, preservation, and production of tapes that source some of the most iconic albums and unheard rarities in all of music history. You'll work with both librarians and engineers, directly handle and distribute master tapes and other audio sources to archive vendors, and ensure the accuracy of production and preservation through research, document creation, and spreadsheet & database maintenance.

Here you'll get to:

  • You will ensure that the proper tapes are being archived for a given release.
  • You will locate final product and verify that all metadata is correct in relation to tapes pulled.
  • You will create Archive Packing Lists detailing correct Artist, Title, Label, Sel #, Track Titles, Source File #, and any other pertinent information needed for each release, providing these to the archive vendors for reference and inclusion in the archives.
  • You will update the Transfer Tracker document for archives needed for current production requests, including the date sent for archive, where it was sent and when it is needed by.
  • You will schedule pick-ups of archive supplies and tapes and address sourcing issues with vendors as they arise (finding alt sources if tapes are problematic, etc.)
  • You will correct errors in our Master Library System (MLS) database based on research, tape box information or additional information provided by archive vendors working with the tapes.
  • You will assist non-archive librarians as needed.

About you:

  • You are detail-oriented
  • You enjoy problem solving and have initiative
  • You have composure and interpersonal savvy
  • You preferably have a college degree or equivalent work experience
  • You maintain a service orientation and costumer focus

We'd love it if you also had:

  • Familiarity with Excel and navigating databases
  • Knowledge of music industry processes past and present: Tracking/Mixing/Mastering/Duplication
  • Familiarity with audio recording media format
