Job description

KEY RESPONSIBILITIES:

  • Educates and assists management and employees within a particular division or department in the administration of human resources policies and procedures.
  • Interprets policies and works with appropriate staff to effectively resolve human resources issues.
  • Provides guidance to managers and supervisors regarding employee leave policies.
  • May investigate and gather information regarding employee relations, Workers' Compensation and FMLA situations.
  • Initiates employment requisitions and follows up on job postings and applicant referrals.
  • Processes new hire and applicant tracking paperwork.
  • Ensures the accuracy and completeness of employment documents.
  • Reviews and obtains approval of time and attendance documents, processes reimbursements and special checks and maintains required documentation.
  • Maintains databases, records and files and prepares reports.
  • May assist with budget preparation and monitor expenditures for specific areas.
  • Performs related responsibilities as required.

ADDITIONAL JOB DETAILS:

  • Serves as primary timekeeper for bi-weekly staff and student employees, resolving timekeeping issues, submitting payroll transactions, and ensuring compliance with payroll and employment policies.
  • Manages departmental HR inboxes and provides timely customer service and support to employees, managers, and university partners.
  • Coordinates FMLA and leave administration, including employee guidance, documentation, tracking, and compliance oversight.
  • Administers student employment processes, including hiring, onboarding, and employment transactions, and serves as the departmental student hire system superuser.
  • Coordinates adjunct and postdoctoral appointments, renewals, and related HR actions in accordance with institutional policies and deadlines.
  • Collaborates with HR, Payroll, Finance, Recruitment, and other university departments to support HR operations, compliance initiatives, and data integrity.
  • May assist with temporary staffing, visa processing, process improvement initiatives, SOP development, website updates, audits, training, special projects, and other HR-related initiatives as assigned.

MINIMUM QUALIFICATIONS:

  • Two years of college coursework, and three years of office administration experience which includes two years of human resources experience, OR an equivalent combination of education, training and experience.
  • Knowledge of various personal computer software packages.

PREFERRED QUALIFICATIONS:

  • Effective verbal and written communication skills with strong attention to detail, organizational abilities, and customer service skills.
  • Familiarity with higher education HR operations, including staff, faculty, and student employment processes and data management.
  • Knowledge of PeopleSoft, Kronos, iCIMS, Excel, PowerPoint, Canva, and other HR-related software systems.
  • Experience supporting hiring and employment transactions, leave administration, and timekeeping functions.
  • Skilled in maintaining electronic records, digital files, and confidential information.
  • Ability to work effectively in a fast-paced, team-oriented environment while managing multiple priorities and deadlines.
