SUMMARY OF DUTIES

Under the direction of the Administrative Services Manager, the Program Secretary plays a vital role in supporting Child & Family Service (CFS) staff by providing comprehensive administrative and operational assistance. This position helps ensure the efficient day-to-day functioning of programs and contributes to the delivery of high-quality services to children, individuals, and families.

Key responsibilities include:

  • Performing a variety of secretarial and administrative tasks, including recordkeeping and follow-up on program-related details.
  • Maintaining organized and accurate filing systems, fiscal and billing records, and program documentation.
  • Assisting in the preparation of outreach materials and supporting outreach events.
  • Handling confidential information with a high level of discretion.

May require travel to other CFS locations for outreach activities and program support- This role is 20 hours per week lasting from July up to December 2026.

EDUCATION AND TRAINING REQUIREMENTS

  • High school, plus additional courses or specialized training at business or community college, or other formal training facility or program.
  • Requires ability to understand and carry out assigned duties effectively.
  • Knowledge needed such as stenography, office routines, elementary accounting procedures; operation of equipment such as bookkeeping
  • Other (Specify): Associate degree in human services, social work, psychology or counseling preferred

EXPERIENCE

  • Over two years, up to and including four years.
  • Other (Specify): Prior experience in family services, care-giver resources.

SPECIAL KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED

  • Typing at 45 wpm with accuracy in spelling and grammar.
  • Proficiency with Microsoft Office Suite (Word, Excel, Teams, Outlook, OneDrive).
  • Ability to organize and maintain accurate records/files.
  • Strong interpersonal and communication skills.
  • Ability to maintain confidentiality, handle sensitive information, and work independently with minimal supervision.

  • This job requires a valid Hawaii driver's license and a clear driver's abstract and continued employment may be contingent on maintaining a clear driver’s abstract
