Operations Support Specialist

Are you passionate about training others, improving business processes, and helping professionals get the most out of the tools they use every day? Our client, a well-established and highly respected professional services firm, is seeking an Operations Support Specialist to join its team in Birmingham.

This is a unique opportunity for someone who enjoys combining training, process improvement, user support, and employee onboarding in a collaborative, fast-paced environment. If you're known as the "go-to" person for answering questions, improving workflows, and helping others succeed, we'd love to hear from you.

What You'll Do
  • Serve as the primary resource for employees with questions regarding business applications, workflows, and firm operating procedures.
  • Deliver onboarding and training for new employees on business systems, software, and day-to-day processes.
  • Provide user-level support for applications including Microsoft Office, document management, billing, timekeeping, email, and practice management systems.
  • Route technical issues to the appropriate IT resources while tracking progress through resolution.
  • Develop and maintain training materials, knowledge base articles, and standard operating procedures.
  • Identify opportunities to improve employee efficiency through enhanced training and process improvements.
  • Partner with firm leadership and department managers to recommend workflow enhancements and operational best practices.
  • Maintain employee training records and support ongoing professional development initiatives.
Qualifications

Required

  • Excellent communication, presentation, and interpersonal skills.
  • Strong organizational and time management abilities.
  • Proven ability to train and support users with business applications and operational processes.
  • Self-starter with excellent judgment, initiative, and customer service skills.
  • Advanced proficiency with Microsoft Office and Windows-based business applications.

Preferred

  • Two or more years of experience providing training and user support in a legal or professional services environment.
  • Experience with legal applications such as:
    • Microsoft Office
    • Timekeeping and billing systems
    • Document management platforms (iManage preferred)
    • Westlaw or similar legal research tools
    • Practice management software
  • Familiarity with litigation support workflows and legal office operations.
