Job Description and Specifications
Title: Administrative Support Associate 7
Classification: Non-Exempt
Direct Supervision received from: Vice President of Finance and Human Resources
Functional Supervision received from: TCAT President
Office Location(s): 100 White Bridge Pike: Nashville, TN 37209
Hours: 7:00-5:30 Monday -Wednesday and 7:00 - 5:00Thursday with Friday's off.
FUNCTION OF THE JOB:
The Administrative Support Associate 7 is responsible for human resources transactions for all Tennessee College of Applied Technology - Nashville campuses. This position also serves as the human resources representative to TBR.
MINIMUM ACCEPPTABLE QUALIFICATIONS:
  • Associate degree preferred. A comparable combination of education and related post-secondary employment experience may be considered.
  • Minimum of five (5) years of work experience in business or industry with a general knowledge of word processing, bookkeeping, accounting, and human resources.
  • Knowledge of computer and online record systems.
  • Ability to tactfully communicate with employees and public at all levels while maintaining a high level of confidentiality.
  • Ability to design and maintain record keeping systems.
  • Ability to read and interpret policy manuals.
  • Knowledge of modern office practices and procedures.
  • Knowledge of principles and practices of accounting and budgeting.
  • Ability to express ideas clearly, concisely, and convincingly.
  • Ability to prepare written procedures.
  • Ability to establish and maintain an effective working relationship with other employees.
  • Ability to prepare and monitor budget development and monetary controls.
    • Responsible for new hire posting. Coordinate hiring: screening applicants, coordinate hiring committee selection, schedule interviews, etc.
    • Process payroll and benefits for employees on all TCAT Nashville campuses.
    • Prepare employment contracts for all personnel.
    • Coordinate and monitor new hire orientation and onboarding.
    • Maintain all staff personnel files, ensuring compliance of security standards and applicable laws/regulations.
    • Maintain Professional Development files on current employees.
    • Establish, maintain and ensure appropriate records for hiring procedures as required by EEO, ADA.
    • Process background screening and reference check on final applicants.
    • Maintain service award/longevity award files; schedule awards.
    • Communicate with all levels of institutional departments, interacting with faculty, staff, and TBR to obtain or provide information.
    • Prepare required human resources reports for the Tennessee Board of Regents and outside agencies.
    • Process leave requests/reconciliations, compensatory time, and timesheet approvals in TBR Portal.
    • Submit new hire information to Service Center for TBR Portal access and leave report/timesheet functionality.
    • Enter new hire information into Edison for benefits enrollment.
    • Monitor worker's compensation and unemployment claims.
    • Maintain employee handbook.
    • Process FMLA and employee accommodations requests and maintain documentation.
    • Coordinate annual faculty promotion review with President.
    • Coordinate annual evaluation process.
    • Monitor compliance with state and federal guidelines; maintain proper documentation and employee files; prepare for state and federal audits.
    • Travel to off-campus locations, when needed, for employee assistance.
    • Conduct employee exit processes.
    • Maintain OSHA 300 Report
    • Maintain Campus Safety Report.
    • Maintain Microsoft Campus Calendar.
    • Serve as college Records Coordinator. Prepare annual Records Holding Report; maintain, prepare and submit certificates of destruction; disseminate information on state records disposal guidelines.
    • Work with Vice President of Finance and Human Resources to prepare proposed, revised and estimate personnel budgets.
    • Other duties as assigned by supervisor and/or college administration.

Strength requirements (physical demands) - Mental and Visual Demand: Sedentary work - involves sitting some of the time; involves mobile accessibility to entire school and off-campus locations.
Lift up to 10 pounds on occasion; lift, carry, push, or pull objects occasionally.
Requires mental and visual attention to detail.
GENERAL REQUIREMENTS:
This position requires interpretation and problem solving skills concerning a variety of issues including accounting, budget and human resources. Must be proficient in mathematical operations and possess good language and communications skills. Must be able to interpret a variety of instructions furnished in written and oral form. Must be proficient in Microsoft Suite software.
Background checks will be completed on all new hires. A background release will be obtained authorizing TCAT-Nashville to complete a background check which includes the following:

County Criminal National Criminal Database
Federal Criminal Sanctions and Disciplinary Database Financial (if appropriate for position)
SALARY: $42,276.00 - $52,845.00 Commensurate with education and experience.
