Job description

Title: Purchasing Assistant

POSITION SUMMARY
The Purchasing Assistant supports the Manager, Purchasing and Contracts with a variety of bidding, contracting and purchasing duties.

ESSENTIAL JOB FUNCTIONS/JOB DUTIES AND RESPONSIBILITIES
Perform job duties from the assigned campus or work location. Assists with developing, releasing and overseeing competitive bids and contracts for a cost-effective procurement process College-wide. Assists with processing purchase orders and setting up new vendors and users in Banner and SciQuest/Jaggaer. Assists with managing procurement card (Pcard) purchasing activities and reporting. Manages the institutionโ€™s copier contract and activities. Trains new and existing users in SciQuest/Jaggaer. Assists with quarterly and annual TBR reporting.

In the managerโ€™s absence, serves as the SciQuest/Jaggaer administrator and manages the Banner and SciQuest/Jaggaer purchasing system and associated files including: reviewing, approving or returning requisitions, reviewing and verifiying bid and/or contract documentation, maintaining up-to-date accounting codes, approval workflows and purchasing history files, diagnosing and troubleshooting the SciQuest/Jaggaer system and responding to questions pertaining to Banner and SciQuest/Jaggaer. Assists central receiving as needed with the delivery of all shipments received to various departments. Picks up, processes and delivers all College mail delivered by the U.S. Postal Service and assists with mail courier delivery services on an as-needed basis. Coordinates removal of surplus property as needed. Provides functional guidance to central receiving staff and supervises as needed in the absence of the manager.

REQUIRED QUALIFICATIONS
Associateโ€™s degree

Three yearsโ€™ (3) relevant experience

Possess a valid Tennessee driverโ€™s license and have a favorable motor vehicle record. Out of state applicants must obtain a Tennessee driverโ€™s license within thirty (30) days of hire.

PREFERRED QUALIFICATIONS
Bachelorโ€™s degree

Working knowledge of Banner and SciQuest/Jaggaer electronic purchasing system

Prior experience working in higher education

Experience using Microsoft Excel and Access

KNOWLEDGE, SKILLS AND ABILITIES
Ability to communicate clearly, accurately and concisely, both verbally and in writing, with high attention to detail. Excellent customer service skills on the phone, in-writing and in-person. Ability to learn and follow Nashville State and Tennessee Board of Regent policies and procedures. Ability to learn department-specific software and databases, as well as the ability to accurately perform data enter and retrieval. Ability to train and mentor. Ability and willingness to work any assigned shift. Ability to travel within the service region in a College-owned vehicle.
