Tiffany & Co.'s Global Talent Acquisition (GTA) team is seeking a highly motivated and experienced Operations and Program Management Specialist to play a pivotal role in shaping our global talent acquisition strategy. This critical position ensures our worldwide HR and recruitment teams are equipped with industry-leading processes, policies, tools, and resources to attract, engage, and retain top-tier talent, now and for the future.
As the Operations and Program Management Specialist, you will be instrumental in driving the creation, adoption, and continuous enhancement of global recruitment processes, systems, programs, and external partnerships. Your work will directly contribute to Tiffany's ability to achieve its ambitious talent acquisition goals and deliver an unparalleled candidate experience. You will collaborate closely with TA/HR leadership and cross-functional partners to identify opportunities for streamlining recruitment practices, propose innovative solutions for system optimization, and develop engaging content for continuous TA upskilling and learning initiatives. Additionally, you will provide vital support for our GTA Next Gen programming.
Key Responsibilities:
GTA Processes, Policies, & Procedures:
  • Lead the development, refinement, and maintenance of comprehensive Talent Acquisition processes and policies, encompassing the entire talent lifecycle from attraction to preboarding
  • Proactively review and update GTA policies to ensure strict alignment with evolving compliance standards, industry best practices, and legal requirements.
  • Partner with GTA leadership to execute a robust and inclusive hiring strategy, fostering an equitable and representative talent acquisition approach aligned with key business objectives.

Strategic Global Partnerships:
  • Serve as a strategic advisor and collaborative partner to internal clients and cross-functional teams, actively contributing to the development of ongoing talent attraction, hiring, operational efficiency, and retention strategies.
  • Foster close collaboration with Recruiters, HR Business Partners (HRBPs), and other critical stakeholders to thoroughly understand business needs and strategically align recruitment efforts with overarching organizational goals.
  • Identify and leverage global synergies and opportunities to connect, enhance, and harmonize recruitment strategies and practices worldwide, implementing improvements to foster a unified and highly effective approach.

Learning Labs Content Planning and Development:
  • Collaborate with GTA leadership and TA partners to design, develop, and execute impactful GTA Learning Labs, focusing on recruitment upskilling, TA best practices, technology best practices, and continuous brand immersion.

Oracle Recruiting Cloud, TA Technologies, and Systems:
  • Act as the primary Systems Administrator for the Oracle Recruiting Cloud system (ORC), ensuring optimal functionality and user experience.
  • Partner effectively with HRIS to configure system updates, conduct thorough testing, and ensure seamless integration of new functionalities.
  • Actively solicit feedback from global teams and collaborate with HRIS to drive continuous system enhancements and updates.
  • Develop and deliver comprehensive ORC training and upskilling programs to global recruitment teams through both live and digital content.
  • Serve as the main point of contact for initial system inquiries and provide expert troubleshooting support.

Operational Maintenance and Compliance:
  • Conduct regular and thorough compliance audits, including requisition (REQ) audits, I-9 audits, and background check audits, ensuring meticulous accuracy and strict adherence to established hiring standards.
  • Collaborate strategically with Employee Relations and Legal teams to expertly address compliance-related matters, interpret complex regulatory updates, and implement necessary process improvements.
  • Effectively communicate audit findings to recruitment teams, providing clear, actionable guidance and recommendations to promptly address any discrepancies.
  • Issue proactive reminders and communications to reinforce compliance expectations and foster consistent process adherence across all teams.
  • Partner with regional and divisional Talent Acquisition teams to seamlessly support ad hoc external audits, ensuring impeccable coordination with regulatory requirements.

Vendor Management:
  • Collaborate with GTA leadership to oversee the entire TA vendor management lifecycle, from discovery and rigorous review to supplier onboarding, ongoing relationship management, and renewals.
  • Assist the GTA team in identifying and evaluating new vendor partnerships (as needed) and diligently maintain strong relationships with current vendors.
  • Analyze comprehensive data to thoroughly understand current technology utilization, assess success metrics, and identify areas for strategic improvement and innovation.

Early Career Programs and Events:
  • Academic Relations:
    • Actively participate in planning, coordination and attendance of University Relations events and/or career fairs, fostering valuable connections with academic institutions and prospective talent to promote Tiffany's employer brand and recruitment initiatives, as needed.
    • Conduct interviews for GTA program considerations and participate in on-campus interviewing processes, as needed.
  • Internship Program:
    • Partner with the Early Careers lead to meticulously plan and execute Internship Program events, overseeing collaborative efforts with internal and external partners.
    • Assist with the creation of compelling content, flawless event execution, and engaging presentation delivery.
    • Coordinate and lead the comprehensive operations of the US Summer internship program alongside the EC Lead, including recruitment activities, training and communications for internal recruitment and hiring teams, and the pre-onboarding and onboarding processes for summer interns.

Budget Reconciliation:
  • Partner with GTA leadership to conduct diligent monthly reconciliation to precisely track spending, assess variances, and maintain impeccable financial accuracy.
  • Support year-end budget reviews and contribute to the strategic planning and development of the following year's budget to optimize resource allocation and financial efficiency.

Project Management:
  • Actively participate in ad hoc projects supporting GTA operations and contributing to the global strategy.

The hiring range for this position ranges from $70,125 - $88,000. The rate of pay offered will be dependent upon candidates' relevant skills and experience.
Required Qualifications:
  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • 5+ years of progressive experience in Talent Acquisition operations, program management, or HR project management, preferably within a global organization.
  • Demonstrated experience in developing, implementing, and optimizing global TA processes, policies, and procedures.
  • Strong understanding of recruitment compliance, labor laws, and regulatory requirements across multiple geographies.
  • Exceptional project management skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent communication, interpersonal, and presentation skills, with the ability to influence and collaborate effectively with diverse stakeholders at all levels.
  • Strong analytical skills with the ability to interpret data, identify trends, and make data-driven recommendations.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word).
  • Ability to travel occasionally as needed.

Preferred Qualifications:
  • Proven expertise as a Systems Administrator for Oracle Recruiting Cloud (ORC) or a similar enterprise-level Applicant Tracking System (ATS).
  • Experience with other HRIS or talent technology platforms.
  • Experience in vendor management and contract negotiation within a TA context.
