Job description

Position:  Switchboard Assistant          

Location:  DHQ

Availability of Position:  M-F                             

Schedule: Part-time Plus, up to 29 hours per week, M-F, 10 am – 3:30 pm

Reporting Relationship:  Building Services/Property Department Manager

Salary and Grade: $ 15.75 per hour; Grade 75, Non-Exempt

Position Overview: The Switchboard Assistant (SA) is responsible for managing all incoming calls to the organization's switchboard with professionalism, efficiency, and courtesy. This role also includes warmly greeting and assisting visitors upon arrival, ensuring they are promptly connected with the appropriate staff member. The SA plays a key role in upholding a professional, organized, and welcoming environment for both guests and employees.


Description of Position:       

  • Operate communication systems, such as Microsoft TEAMs, switchboard, intercom, two-way radio, or public address.
  • Answer incoming calls, greeting callers, providing information, transferring calls and/or taking messages, as necessary
  • Notify individuals of telephone calls, using paging and interoffice communication equipment.
  • Relay and route written and verbal messages
  • Place telephone calls or maintenance calls, as instructed, and route emergency calls appropriately
  • Monitor alarm systems to ensure secure conditions are maintained.
  • Keep records of calls placed and packages that are delivered.
  • Assist in collecting and submitting all front desk month ending report logs (visitor, delivery, & switchboard coverage).
  • Keep the front greeting area clean and always welcoming.
  • Perform related duties, as assigned

Requirements:                                      

  • High School Diploma or GED required; some college course preferred.
  • 3 years of prior successful work experience in a retail setting a plus.
  • The ability to use Microsoft Office is required and knowledge of Outlook and TEAMs is helpful.
  • Must be self-motivated and able to work in a constantly changing environment.
  • Good verbal and written communication skills for dealing with staff and vendors.
  • Active listening skills are required to give full attention to what other people are saying for placing correct calls.
  • Must keep information in a confidential and secure manner.
  • Child Protection Clearances PA Act 153 requires that all prospective employees complete the following: clearance and background checks prior to employment: PA Child Abuse History Clearance, PA State Police Criminal Record Check and FBI Criminal Record/Fingerprint Check. Meets the Child Protection Clearances required by PA Act 153 along with renewals every 5 years.
