Job Title: Talent Support Specialist/ Project Coordinator

Location: Hyattsville, MD (Corporate Office)


The Talent Support Specialist/ Project Coordinator shall administer, organize and manage all project activities in collaboration with the Human Resources Manager and other staff as assigned, as well as conduct talent support specialist functions.


ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES

The Talent Support Specialist/ Project Coordinatorbe responsible for:


50% of the Time: Project Coordinator

  • Essential Job Functions, Duties and Responsibilities
    • Coordinates project coordination activities, events, resources, equipment, and information.
    • Organizes project documents, proposal reviews, presentations, plans, spreadsheets and reports.
    • Provides support, as required, for all stages of the proposal development process.
    • Coordinates production of schedules, outlines, edits, matrices, proposal kickoffs, and proposal meetings.
    • Identifies strategies to designate projects into doable actions and sets timeframes.
    • Maintains and recommends effective communication channels and strategies to ensure streamlined processes with clients.
    • Researches and recommends solicitation opportunities for the scope of business.
    • Ensures accuracy of the proposal core data/information on templates, documents, spreadsheets, etc.
    • Coordinates work group sessions and major staff meetings.
    • Supports coordinating logistics and producing materials needed for review sessions and meetings related to the proposal process.
    • Organizes company documents into updated filing systems.
    • Maintains files and records in electronic and paper formats.
    • Interfaces with technical writers and subject matter experts in coordinating information.
    • Helps organize training and development initiatives.
    • Coordinates traveling arrangements, event preparations, and administrative functions.
    • Assists with identifying risk factors, resource limitations, and barriers to coordinating projects.
    • Assists with identifying project opportunities, business development resources, and service availabilities.
    • Helps establish business connections with professional groups, communities and organizations.
    • Acts as the point of contact for assigned projects and communicates project status.
    • Manages employees subscriptions to conferences, events, training, e-learning courses, etc.
    • Coordinates and/or supports quarterly newsletters and assists with business leadership training catalog and outreach.
    • Maintains companys certifications, and updates SAM profile.
    • Coordinates business development updates to companys pipelines with the executive capture manager.
    • Prepares end of day stand up and released end of day summary by designated time frames.
    • Conducts other job-related duties as assigned.
    50% of the Time: Talent Support Specialists
    • Conducts talent support specialist functions as assigned by the human resources department.
    • Creates reports on hiring progresses and other recruiting metrics.
    • Assists in talent acquisition, recruitment/selection processes, interviews and employee onboarding.
    • Publishes and removes employment advertisements, schedules job interviews, and contacts candidates.
    • Assists with job-related activities of social media profiles and maintenances (e.g. LinkedIn, Facebook, Twitter & Bamboo, etc.).
    • Prepares new employee packages.

    • Uses tools to monitor working hours, plans, and expenditures.


MINIMUM QUALIFICATIONS


  • Education: A bachelors degree from an accredited college or university is required in project management, business administration, business management, human resources, public policy or a related field, preferred. An equivalent combination of education and experience may be considered.
  • Experience: At least three years experience working in a business sector with a high level of customer services involvement, project coordination interaction and/or human resources (talent acquisitions).
  • Must be lawfully authorized to work in the United States of America.

  • Maintains flexibility to adjust work schedule during project and proposal development activities.

  • Works independently and within a team structure to organize and prioritize ongoing projects.
  • Must attend training workshops and obtain certifications as recommended by management.
  • Performs administrative/clerical functions as assigned.


Specific Skills Required


    • Must have proficient typing/keyboard skills.
    • Must have proficient understanding of spreadsheets, databases, calculator, standard office equipment, etc.
    • Must maintain professional client and co-worker/colleague interactions (direct, indirect, internal and external). Clients and co-workers/colleagues interactions include, but is not limited to:
      • Face-to-Face interactions
      • Telephone conversations
      • Presentations and Meetings (formal and informal)

    • Must have excellent interpersonal, organizational, time management, written and verbal communication skills.



    Training and Certification


    • Must participate in project coordinator training workshops, webinars, activities and/or research information/resources online as recommended by management.
    • Must participate in human resources (talent acquisitions) training workshops, webinars, and/or research information/resources online as recommended by management.
    • Must obtain job/position-related certification(s) as recommended by management.

    Computer Skills Required


    • Proficiency in computer skills must include, but is not limited to:
      • Microsoft Office Suite and Microsoft Windows

    Physical Demands
