Systems Support Coordinator


Position Summary

The Systems Support Coordinator (SSC) serves as a key integrator between ministry operations and systems management at Heights Church. This position supports ministry teams by ensuring the systems, tools, and processes they rely on are effectively implemented, maintained, and optimized.


Working closely with the Communications Director and Project Coordinator, the SSC leads the daily management of church systems while providing training, troubleshooting, and back-end support for ministry programs and events. With a high degree of independence, this role ensures that systems and processes align with the mission, values, and evolving needs of Heights Church.


Schedule & Reporting

SSC works Weekdays, Weekends and Holidays as needed

SSC reports to the Communications Director


Systems Management

  • Lead the implementation, maintenance, and daily operation of church management systems used by Heights Church
  • Align system functionality with ministry goals and organizational processes
  • Manage user access and permissions while maintaining strict confidentiality of sensitive partner and organizational information
  • Resolve system-related issues that broadly impact the organization
  • Design, test, and maintain forms, registrations, event workflows, and other Planning Center components
  • Build and optimize system structures and processes to meet evolving ministry needs
  • Design and manage multi-location system functionality
  • Implement and evaluate new system features, adapting configurations as church and ministry needs grow
  • Maintain high standards of data integrity, security, and compliance with organizational and legal requirements
  • Coordinate with outside vendors and platform support teams when issues require additional technical assistance


Back-End Ministry Support

  • Build and maintain strong communication with ministry teams to support the effective execution of programs and events
  • Partner with ministry teams on complex processes, initial setups, registrations, workflows, and new system initiatives
  • Translate ministry needs into practical and sustainable system solutions
  • Evaluate existing ministry processes and identify opportunities to improve clarity, efficiency, and consistency
  • Provide system support for ministry events and initiatives across multiple Heights locations
  • Proactively engage ministry teams in their environments to gain firsthand insight, build trust, and provide informed, hands-on support


Systems Training

  • Lead onboarding and training for staff and key serve team members across core systems (Slack, PCO, Clearstream, Jotform, Square, ServiceReef)
  • Champion effective use of technology tools to increase efficiency and support ministry engagement
  • Equip staff and leaders to leverage systems in ways that create more space for personal and relational ministry
  • Provide ongoing training as systems, features, and organizational processes evolve


Systems Support

  • Enable ministry leaders to confidently troubleshoot and manage their system responsibilities
  • Serve as a primary point of support for staff experiencing system-related questions or challenges
  • Maintain and improve system support resources, including up-to-date procedures, guides, and training materials
  • Identify recurring support needs and develop resources or processes that address common challenges
  • Communicate system changes, updates, and best practices to staff and key serve team members


Collaboration

  • Collaborate with the Project Coordinator to ensure registrations, forms, workflows, and system-related deliverables are completed according to project timelines
  • Partner with the Communications and Creative Support Coordinator to ensure communication strategies are supported by effective systems and audience structures
  • Support communication initiatives by ensuring the necessary platforms, integrations, permissions, and back-end processes are functioning effectively


Qualifications and Skills Experience

  • Leadership Driven Ownership- leading or coordinating the work of others (formal team leadership experience preferred).
  • Immediate knowledge of Microsoft Office Suite (Word, Excel, Outlook),
  • Experience with Church Center (PCO), and other church management software.
  • Handles sensitive and confidential information with the utmost care.
  • Detail-obsessed executor - Exceptional organizational skills, attention to detail, and the ability to manage multiple priorities simultaneously.
  • Design-driven- Organizes tasks, timelines, and communication to help projects move forward with clarity, consistency, and follow-through.
