Associate Quotations and Submittal Coordinator

Department: Sales

Classification: Administrative Support

Location: Rocklin or Hayward, CA

Schedule: Monday to Friday 8:00 a.m. to 5:00 p.m.

Hourly Rate: $31.25 to $43.00

Key Responsibilities

  • Quotations: Review mechanical/plumbing plans, perform equipment take-offs, extract bid documents from electronic exchanges, and prepare competitive project quotes.
  • Collaboration: Partner closely with Outside Sales Engineers, branch offices, and Business Development teams to align with regional sales strategies.
  • Submittals: Prepare, update, and deliver accurate product submittal documentation to customers, keeping organized master job files.
  • Customer Service: Maintain clear communication and provide top-tier support to clients, vendors, and internal teams.

Qualifications & Skills

  • Education: High School Diploma required; College degree preferred.
  • Skills: Strong critical thinking, high attention to detail, proficiency in arithmetic operations, and ability to read construction plans/specifications for mechanical and plumbing equipment.
  • Software: Proficiency in Microsoft 365 and Adobe Acrobat. Experience with Salesforce, NetSuite, or estimating tools is a plus!
  • Communication: Excellent written and verbal English communication skills with strong time management ability.
