Overview

The Facilities Coordinator supports the Studio Operations Manager in ensuring the overall functionality, safety, and efficiency of the studio and facility environment. This role is critical to maintaining seamless day-to-day operations by coordinating maintenance requests, supporting office moves and reconfigurations, conducting facility safety walkthroughs, and coordinating with on-site vendor and contractor activities.

The ideal candidate is proactive, resourceful, and highly accountable, with strong problem-solving skills and a collaborative mindset. They are able to effectively prioritize tasks, respond to operational needs, and contribute to a safe, organized, and productive workplace.

Key Responsibilities

  • Facility Operations & Building Services - Coordinate the day-to-day operation of office, studio, and production facilities to ensure a safe, functional, and well-maintained environment.
    • Support building maintenance, repairs, inspections, and vendor services while identifying and escalating facility-related issues. (ie; HVAC, electrical, plumbing, lighting, security, and fire/life safety systems)
    • Coordinate & act as point of contact for facility access, deliveries, and operational logistics in support of employees, visitors, and production teams.
    • Assist with office opening/closing and provide occasional weekend support for scheduled repairs.
  • Safety, Security & Workplace Readiness- Maintain facility safety, security, and preparedness while supporting an efficient workplace experience.
    • Coordinate access control, key and badge administration, visitor procedures, and emergency preparedness initiatives.
    • Monitor facility cleanliness, organization, and overall readiness across office, studio, and common areas.
  • Facilities Logistics & Resource Management - Manage the physical resources and infrastructure required to support daily operations.
    • Collaborate with Studio Operations Coordinator to coordinate inventory, procurement, and distribution of facility supplies, equipment, PPE, and operational resources.
    • Support office moves, workstation setups, furniture installations, waste management, and other facility improvement projects.
    • Track and manage designated operational budgets
  • Operational Support & Continuous Improvement - Serve as a collaborative member of the Operations team by supporting departmental initiatives and enhancing workplace functionality.
    • Partner with the Studio Operations Manager and Operations team to address operational needs, improve processes, and support cross-functional projects.
    • Identify opportunities to improve facility efficiency, safety, organization, and the overall employee experience.
    • Act as back up and support for the Ops Team (Studio Operations Manager, Studio Operations Coordinator, Receptionist, etc.)

Preferred Qualifications

  • 2+ years of facilities, operations, studio operations, production support, or property management experience.
  • Strong organizational and project coordination skills.
  • Experience working with vendors, contractors, and maintenance providers.
  • Ability to prioritize multiple requests in a fast-paced production environment.
  • Knowledge of facility systems, workplace safety standards, and basic building maintenance practices.
  • Ability to occasionally lift up to 50 lbs and work in office, warehouse, workshop, or production environments.
